DESCRIPTION

Atlantis Avionics, a small family-owned business in the avionics industry, is looking for a part-time Administrative & Operations Assistant to support our day-to-day operations, with a strong focus on processing equipment service orders. This role involves coordinating paperwork, communicating with customers, and supporting the flow of work across different functions of the business—from when an order is received to when the equipment is ready to ship back to the customer. You’ll have the unique opportunity to be involved in nearly every aspect of operations.
You’ll work closely with the Vice President of Operations in a collaborative hands-on environment. The role is ideal for someone who enjoys a mix of administrative work, customer communication, as well as contributing to aspects of the organization that ensures everything is running smoothly.

QUALIFICATIONS & REQUIREMENTS

  • Strong communication skills and a professional, customer-focused approach.
  • Detail-oriented with advanced organizational and time management abilities.
  • Comfortable working with email, spreadsheets, and standard office tools.
  • Comfortable working with Microsoft Office applications including Outlook, Excel and Word.
  • Ability to handle multiple tasks and adapt to shifting priorities.
  • Prior administrative or customer service experience is considered an asset , but not required.
  • Knowledge of Quickbooks Software is considered an asset , but not required.
  • Availability to work part-time hours during our company core hours (schedule can be flexible, but not entirely self-set).

Responsibilities
  • Coordinate and process equipment service orders, including handling related documentation and internal tracking.
  • Communicate with customers to provide updates, collect information, and follow up as needed.
  • Send quotations and lead time based on current inventory.
  • Prepare and coordinate shipping of serviced equipment, including documentation and customs forms when required.
  • Prepare supporting documents for technical and shipping needs.
  • Assist with maintaining records for incoming and outgoing orders.
  • Support other administrative tasks as needed.
