Role Overview
We are seeking a reliable and detail-oriented Part-Time Administrator to support our growing operations. This role is ideal for someone who enjoys working in a structured environment, has strong organisational skills, and can communicate confidently with clients and suppliers.
This position is offered 3–4 days per week, with flexibility around days and hours for the right candidate.Key Responsibilities
- Manage end-to-end invoicing and payments using Quickbooks (NDIS bulk payments, private, iCare, etc.)
- Schedule assessments, repairs, trials, and deliveries via ServiceM8
- Maintain flawless file organisation and version control in Dropbox
- Act as the primary point of contact for:
- Plan Managers (submitting claims, following up payments, resolving discrepancies)
- Occupational Therapists (booking trials, sending quotes, coordinating paperwork)
- Support Coordinators and NDIS planners
- Other disability providers and funding bodies
- Handle sensitive client enquiries with patience, empathy and exceptional attention to detail
- Ensure 100% NDIS compliance (quotes, service agreements, progress notes, reports)
- Reconcile payments daily and chase outstanding invoices professionally
Essential Requirements
- Minimum 1 years’ hands-on experience using Quickbooks (essential)
- Minimum 1 year using ServiceM8 (essential)
- Dropbox organisation skills (essential)
- Proven experience dealing directly with Plan Managers, OTs, NDIS, and iCare
- Extremely high attention to detail – “very organised” is non-negotiable
- Naturally patient, empathetic and customer-service focused
- Happy and capable of working completely alone for 5-6 hours/day
- Excellent written and verbal communication (professional yet warm tone)
