JOB DESCRIPTION

  • Summary/objective: The Part-Time Assistant Office Manager serves as the first point of contact for visitors, callers, and team members at Angel Studios. This role involves supporting the front desk operations, providing administrative support, and ensuring a welcoming and efficient office environment. The receptionist will handle incoming calls, greet guests, coordinate various activities across the company including coordination and partnership across various departments to facilitate needs related to incoming guests, meetings, facilitating priority alignment to support the Office Manager and the People and Culture team. This role includes prioritizing and facilitating smooth transition and documentation related to incoming mail; and prioritizing the responsibilities with inter-office coordination across departments and teams. This role is crucial in supporting and partnering with various teams in their daily daily operations.

REQUIRED EDUCATION AND EXPERIENCE

  • High School Diploma or equivalent
  • At least 1 year of experience in a receptionist, administrative, or customer service role

PREFERRED EDUCATION AND EXPERIENCE

  • Associates Degree in a business related field
  • Experience in a creative or media industry
  • Familiarity with office management software (e.g. scheduling tools).
    Work environment - When in the main office, expect a comfortable, air-conditioned work environment. Team members are issued their own desks, but the office is an open, shared space and can be fast-paced and occasionally noisy.
    Physical demands - Must be able to sit or stand at a desk for extended periods of time.
    Position type and expected hours of work - Part Time, 20 - 24 hours a week
    Travel required - No travel required
    Work authorization - Must be authorized to work in the United States.
Responsibilities

ESSENTIAL FUNCTIONS

  • Greet visitors, clients, and team members in a professional and friendly manner, directing them to the appropriate person or department
  • Aid in managing front desk operations, including sorting and distributing mail, handling deliveries, and maintaining office supplies inventory.
  • Coordination across teams and business units/spaces related to upcoming meetings, event facilitation. Assisting in the planning and management of company meeting agendas, speakers, slide decks.
  • Assist in providing basic administrative support, such as data entry and preparing documents
  • All other general office duties
  • Must attend and contribute to regularly scheduled staff meetings.
  • Partner as an extension of the People Team in relation to a variety of projects, support and coordination of the needs as time allows.
  • Proficiency in speaking, reading and writing in the English language required. Additional language proficiency is a plus.
