JOB POSTING DESCRIPTION: PART TIME BOOKKEEPER/ACCOUNTANT

The Gardens at the Horticulture Centre of the Pacific (HCP) is a multifaceted nonprofit organization featuring 9 acres of demonstration gardens and 100 acres of Conservation Park. We are committed to bring a diversity of people together to learn, enjoy, and participate in the rewards of horticulture and environmental stewardship.
We are responsible for many activities including the operation of the Pacific Horticulture College, community programs, education, conservation, retail operations, and tourism. Our work involves multiple funding streams, grants, donations, earned income, and program revenues—requiring careful fund accounting and accurate financial management.

Key responsibilities:

  • Record and reconcile all financial transactions, including accounts payable, accounts receivable, payroll, and bank reconciliations
  • Maintain fund accounting records, tracking multiple restricted and unrestricted funds, grants, and projects
  • Prepare monthly financial statements and reports for management and the Board of Directors
  • Assist with budget preparation, monitoring, and variance reporting
  • Support grant reporting by providing accurate financial documentation and expense tracking
  • Ensure compliance with applicable nonprofit financial regulations, donor restrictions, and organizational policies
  • Liaise with external accountants/auditors for annual audits or financial reviews
  • Maintain organized and up-to-date financial records, both digital and paper-based
  • Assist with process improvements in financial management systems and workflows

Qualifications and Skills:

Required:

  • Proven experience in bookkeeping, preferably in a nonprofit environment
  • Strong knowledge of fund accounting principles and practices
  • Full cycle accounting
  • Proficiency in accounting software (e.g., QuickBooks Nonprofit, Sage, Xero) and Microsoft Excel
  • Understanding of charitable compliance requirements and reporting
  • Strong attention to detail and accuracy
  • Ability to manage multiple priorities and meet deadlines

Preferred:

  • Experience with payroll processing
  • Familiarity with grant and government funding reporting requirements
  • Knowledge of point-of-sale and e-commerce financial integration
