JOB DESCRIPTION:

The Medical and Allied Health Office Assistant is responsible for providing a knowledgeable, professional and friendly experience for all clients, and providing administrative support to our doctors and clinicians. We have a fulltime Medical Office Assistant (MOA) that supports our physicians, we are looking for a junior MOA who can work evenings 4:00 pm - 8:00 pm. Key responsibilities include but are not limited to:

  • Greeting and interacting with patients over the phone and in person.
  • Supporting clients and patients with concerns and needs.
  • Collecting personal information from patients and entering it in the electronic system (Jane, Oscar, and Plexia).
  • Operating the phones and responding to emails sent to the office.
  • Scheduling appointments for patients.
  • Validating patients’ payment methods.
  • Updating patients’ health records.
  • Ensuring clinic cleanliness.
  • Maintaining detailed confidential client records.
  • Liaising with third party insurers.
  • Other administrative and front desk duties as needed.

POSITION REQUIREMENTS

  • Knowledge of EMR systems, especially Jane and Oscar.
  • Excellent communication skills.
  • Excellent organizational skills and the ability to multitask.
  • Excellent administrative and interpersonal skills.
  • Exceptional attention to detail and accuracy.
  • Ability to work independently and also in a small collaborative team environment.
  • Ability to address patient concerns and challenges with compassion and resilience.
  • Ability to handle sensitive patient information with confidentiality and discretion.

EDUCATION & EXPERIENCE:

  • Medical Office Assistant training from VCC (or comparable training)
  • Knowledge of Trauma-informed care and Gender-affirming care - Requirement*
  • Minimum of 1 years of administrative experience in the healthcare environment is preferred.
  • Be proficient with computer systems (Oscar, Plexia, and JaneApp).
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Knowledge with IUD insertions/removals, vulvar/vaginal concerns, and OB type appointments.

QUALIFICATIONS:

  • Be able to multitask in a fast-paced environment and be able to work well on their own.
  • Be personable, professional & attentive to detail.
  • Be reliable, trustworthy and hard-working.

HOURS

  • Currently looking for in-person shifts 4:00 pm - 8:00 pm 2 or 3 days a week, possibility of expanding to weekends.
  • Clinic is open Monday- Saturday from 7:00 am until 8:00 pm
