Part-time 0.5 FTE Executive Assistant
We are seeking a highly motivated and detail-oriented professional to work 3 days a week directly with the President of Emergency Response Assistance Canada (ERAC). This is an opportunity to provide high level administrate and strategic support and is a unique opportunity for individuals who thrive in dynamic, fast-paced environments and are energized by the challenge of navigating complex projects involving multiple stakeholders.
The ideal candidate is positive, professional, and adaptable—someone who brings a proactive, supportive mindset and a commitment to excellence in every task. You’ll be expected to manage competing priorities with precision, communicate effectively across diverse teams, and contribute meaningfully to ERAC’s mission, vision and values. This role requires a proactive, detail-oriented, and highly organized individual who can manage multiple priorities, maintain confidentiality, and represent the President with professionalism and discretion. This position requires a high-level of administrative skills, strong editing skills and time management.

Responsibilities will include:

  • Act as the primary point of contact between the President and internal/external stakeholders
  • Assist in tracking strategic initiatives and ensuring timely follow-up on action items
  • Efficiently manage and coordinate the Presidents calendar, including scheduling meetings, appointments, and travel arrangements
  • Provides orientation and relevant documentation for Board Directors
  • Draft internal and external communications on behalf of the President
  • Advise the Board Chair and Board Directors on procedures of the Board
  • Prepare and edit documents, briefing materials, reports, presentations, and other materials as needed
  • File and retrieve corporate, and Board legal documents, records and reports with the company lawyer
  • Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items
  • Coordinate travel plans, including booking flights, accommodations, and transportation. Prepare detailed itineraries and ensure smooth travel experiences
  • Maintain the highest level of confidentiality and discretion in all matters related to the President and the ERAC
  • Utilize advanced technology tools and software to enhance productivity and streamline processes. Stay updated with the latest technological advancements.
  • Foster positive relationships with internal and external stakeholders. Represent the President in a professional and courteous manner.
  • Exhibit a positive, supportive, can-do attitude towards the President and all internal and external stakeholders
  • Proactively identify and resolve issues that may arise in the Presidents daily operations
  • Provide solutions and recommendations to improve efficiency

Skills and Qualifications:

  • Intermediate to advanced level of proficiency in Office 365 applications including: Outlook, Word, PowerPoint, Excel, Visio and Copilot
  • Attention to detail is essential
  • Great organizational skills and ability to meet tight deadlines
  • Strong customer service background
  • Ability to communicate effectively both verbally and in writing
  • Ability to problem solve independently
  • Positive attitude, self-starter and reliable
  • Flexible and adaptable to changing processes and new tasks

Employment Type: Permanent, Part-time, 3 days a week Monday- Wednesday (.5 - .6 FTE)
Compensation: Part-time $28.00 - $38.00 per hour, compensation offered will be based on skills, knowledge and experience
