JOB SUMMARY

The Receptionist serves as the first point of contact for patients and visitors, providing exceptional customer service and administrative support to ensure the smooth operation of the department. This role involves managing front desk activities, scheduling appointments, handling patient inquiries, and maintaining accurate medical records.

QUALIFICATIONS

  • Diploma in Medical Office Administration.
  • 2–3 years of experience in a medical office, preferably in diagnostic imaging or ophthalmology.
  • Proficiency in MS Office and electronic medical systems (e.g., RIS-PACS, Ocean eReferral). -
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.

Responsibilities
  • Greet patients, visitors, and staff warmly and professionally.
  • Answer phone calls, respond to inquiries, and direct calls appropriately.
  • Schedule, confirm, and reschedule patient appointments and procedures.
  • Collect and verify patient demographics and verify health card and/or insurance details.
  • Maintain and update patient records in the electronic medical record (EMR) system and Radiology Information System.
  • Process patient check-ins and check-outs, including payment collections if necessary and verify patient insurance coverage and obtain pre-authorizations when necessary.
  • Prepare and manage correspondence, forms, and other documentation.
  • Coordinate with staff to ensure timely patient flow and communication.
  • Adhere to PHIPA (personal health information protection act) regulations and maintain patient confidentiality.
  • Ensure compliance with Kensington Health policies and procedures.
  • Coordinates scheduling as needed with other ancillary departments.
  • Facilitates timely and accurate medical records management and ensures that each record contains appropriate documentation as per established policy of medical record content.
  • Performs other duties as required and as assigned by the Manager.
  • Records accurate telephone messages and responds to messages in a timely manner.
  • Communicates with and supports patients and their families during their visit.
  • Provides relevant information to the patient about any upcoming procedures, tests, and appointments, and ensures all proper documentation is in place.
  • Escalate any concerns to the Manager in a timely fashion
  • If working in diagnostic imaging:
  • Demonstrate understanding of the scope of all procedures
  • Demonstrate understanding of pre-requisites for each procedure.
  • Demonstrate understanding of patient eligibility criteria for procedures.
  • Explain and ensure all patients understand scheduled procedures and associated preparation requirements.
  • Administer and process registration of patient procedures in the Radiology Information System, ensuring accuracy and completeness of patient and procedure information entered.
  • Ensure clarity and completeness of patient requisition. Responsible for following up with referring physicians to clarify missing and/or unclear information.
  • Assist the Patient Flow Coordinator in ensuring all patient procedures are performed in a timely fashion.
  • Ensure the timely distribution of final diagnostic reports to referring physicians.
  • Facilitate the delivery of STAT diagnostic imaging reports to referring physicians.
  • Provide copies of patient images on CD to patients and referring physicians, ensuring health information security is maintained.
  • Actively participates in and adheres to the Quality Assurance standards and program.
  • Utilize Ocean eReferral system to receive and process electronic referrals efficiently.
  • Troubleshoot any technical or administrative issues related to Ocean eReferral or the scheduling system.
  • Liaise with technologists, radiologists, and referring physicians to coordinate patient care.
  • Coordinate FNA (Fine Needle Aspiration) biopsies, ensuring proper scheduling with the radiologist and patient preparation.
  • Arrange mobile X-ray services for patients unable to visit the clinic
