WARE is seeking two warm, friendly, highly-organized and detail-oriented part-time Receptionist/Administrative Assistants to serve our customers, visitors, and employees, keeping our organization’s values and culture front-and-center in all interactions. The ideal candidates will demonstrate professionalism, discretion, and a strong work ethic. This position requires reliability, excellent communication skills, and a commitment to high standards of accuracy and integrity. The two part-time Receptionist/Administrative Assistants are key resources for everyone in the organization, possessing the ability to pivot and quickly respond to needs and questions with a positive, servant-heart attitude and “I’m here to help!” mentality. This dynamic position requires excellent problem-solving abilities and the ability to work well under pressure with a calm and reassuring demeanor. Work Hours: One part-time Receptionist/Administrative Assistant will work 7:30am-12:30pm, Monday-Friday. The other part-time Receptionist/Administrative Assistant will work 12-5pm, Monday-Friday. Responsibilities: Answer all incoming customer phone calls with a sense of urgency via multi-line phone system, warmly and promptly responding with information, assistance, and/or directing calls to the appropriate person or department Greet visitors with a spirit of hospitality and joy Ensure the office is “guest-ready” at all times – neat and welcoming in appearance Manage incoming and outgoing mail, packages, and deliveries Provide office operations support, ordering and maintaining office supplies, among other tasks Ensure meeting rooms are prepared and tidy Assist with travel arrangements and expense reports Execute employee life-event recognition programs Create company newsletter Assist with organizing company events, meetings, and employee engagement activities Provide administrative support to various departments for special projects or seasonal initiatives Assist with updating company directories and shared databases Perform other duties as requested Details: Part time, hourly, in-office, Monday-Friday, $24-$26/hr. One position is Mon.-Fri. 7:30am-12:30pm The other position is Mon.-Fri. 12:00-5:00pm Requirements High School Diploma or GED equivalent with 5+ years professional experience in an office setting Possess a team-oriented approach, and joy-filled, service-oriented spirit Demonstrate high levels of integrity, discretion, and the ability to use higher judgment when needed, maintaining appropriate confidentiality as required Excellent interpersonal skills with ability to build relationships internally and externally Strong organizational skills with proven ability to multi-task and own the details Tech-savvy, adaptable to new software and programs Resourceful and decisive team-player, with healthy confidence in personal abilities Proficient in Microsoft Office and working online
