Responsibilities

KEY RESPONSIBILITIES

As a Vehicle Administrator working part-time, your role will involve ensuring the accurate and efficient processing of vehicle documentation and stock records. You will work closely with the Sales and Aftersales teams to support the sales cycle, with a focus on priority administrative tasks.

CORE DUTIES:

  • Process and complete Vehicle Orders, ensuring accuracy against specification codes for both standard and factory-fitted equipment.
  • Ensure all documents are signed off by the Sales Manager in iDealFile before invoicing.
  • Check finance approval or funding before vehicle registration/taxation.
  • Record and maintain New Vehicle delivery information accurately.
  • Create and update stock records for new vehicles, including key details (e.g., colour, chassis, specification).
  • Manage the registration process and Vehicle Excise Licence (AFRL) for sold vehicles.
  • Prepare sales invoices, ensuring accuracy in pricing, tax, bonuses, and related items.
  • Complete handover packs for Sales Executives.
  • Conduct HPI/Experian checks on used vehicles and record results.
  • Support Used Car stock records, ensuring timely and accurate updates to internal systems and the company website.

STREAMLINED/PERIODIC RESPONSIBILITIES:

  • Arrange workshop push lines and internal orders for part exchanges or purchased used vehicles as needed.
  • Maintain vehicle funding logs and liaise with finance on vehicle status updates.
  • Assist in setting up policies and routing documents to appropriate departments as time allows.
  • Ensure compliance and data integrity standards are met across all systems.
