Peace Wapiti Public School Division (PWPSD) provides service to approximately 6,100 students in Junior Kindergarten through Grade 12 in 34 schools and is one of the largest employers in the Grande Prairie/Spirit River region. CLAIRMONT COMMUNITY SCHOOL is seeking candidates who enjoy working in a student-focused and collaborative environment. We invite applications for a Part-Time School Administrative Assistant - Finance (18 Hours/Week) . Reporting to the Principal, the School Administrative Assistant ensures the efficient operation of the school office and performs a variety of secretarial/clerical duties for school staff.
The position operates in an environment of high volume of work with constant interruptions and changing priorities. Experience Experience in accounting (accounts payable and accounts received) is preferredExperience working in a fast-paced environmentExperience in performing clerical and secretarial work is preferred Experience working in an educational setting is preferred Other combinations of applicable education, training, and experience, which provide the knowledge, abilities, and skills necessary to perform the position may be considered Competencies Familiarity with budgeting, accounts payable and accounts receivableStrong secretarial background with proficiency with computers and various software programs Ability to prioritize and work independently on projects as assigned Able to work independently on projects, as assignedEnjoy working with people Excellent organizational skills and the ability to multi-task Excellent interpersonal skills and communication skills A positive and professional demeanor Courteous manners with the public, students and staff Punctual, meticulous and reliable A team player who enjoys an ever-changing, busy work environment An excellent work ethic Duties and Responsibilities Reception/Office Answer the telephone in a professional, friendly, and efficient manner Greet and present a business-like and welcoming atmosphere to staff, students and visitors Provide correct information in response to queries, within FOIP regulations Distribute incoming and outgoing correspondence including mail, fax and e-mail Maintain office supplies and inventory control Facilitate and maintenance or school repairs needs General office duties Financial Handle all aspects of in-school collection and distribution of money Collecting and refunding of school fees, inputting into Powerschool Responding to parent questions about school fees Record keeping and cheque writing for all SGF and Site budgets Making deposits Maintaining all necessary records of budget allocations Purchasing, PO’s, purchasing cards and cash receipting Responding to inquiries regarding the school budget (teacher, school administration, central office, audit etc.) Human resource and payroll functions such as recording and reviewing absence and replacement employee and timesheet entries for support staff Recordkeeping Maintain financial documents to track budget and expendituresMaintain accurate and up-to date student data including attendance records Complete necessary forms (e.g. student accident reports) Communication Orientating substitute and casual staff to the school and classrooms Provide required data to Central Office and Alberta Education in a timely manner Supervision Maintain a safe environment for students who are waiting in the office area or sick room Other Provide support for various school needs as identified and assigned by School Administration Be familiar with and adhere to District Administrative Procedures that relate to the position Applications should include: Completed ApplytoEducation profile Cover letter Detailed resume A list of three references (with current contact information) A current Criminal Record Check (including Vulnerable Sector Check), dated within the last six months, is a condition of employment. Salary is commensurate with education and experience. The salary range for this position is $21.85/hour to $27.68/hour.
