JOB SUMMARY

We are looking for a proactive and organised Part-Time Office Administrator to join our head office. This role involves providing administrative support across multiple areas, including property management, finance, and general office operations. You will assist the Executive team with a wide range of tasks, from diary management and correspondence to supporting the property and finance teams. This position requires office attendance two days a week (Tuesdays & Thursdays), with some flexibility.

REQUIREMENTS

  • Experience: Prior secretarial or administrative experience, ideally in the property industry or professional services sector.
  • Technical Skills: Strong Microsoft Office skills (Word, Excel, Outlook, PowerPoint) and familiarity with other office software.
  • Organisational Skills: Excellent organisational abilities, with a strong attention to detail and the ability to handle multiple tasks simultaneously.
  • Communication Skills: Strong verbal and written communication skills, with the ability to interact effectively with internal and external stakeholders.
  • Proactive & Adaptable: A proactive approach to work with the ability to adapt to changing business needs.
  • Desirable Knowledge: Familiarity with property investment, property management, or finance terminology would be advantageous but not essential.Proven experience in an administrative or clerical role is preferred.

Responsibilities
  • Diary & Meeting Management: Organise diaries for the Executive team, including quarterly board meetings and the AGM.
  • Property & Contractor Support: Coordinate property-related tasks, liaise with contractors, and assist surveyors with maintenance and inspections. Arrange EPC’s o be carried out.
  • Document Handling: Review and process leases, legal documents, service charges, and draft reports or meeting minutes.
  • Website & Social Media: Update the company website and social media channels.
  • General Office Duties: Answer calls, manage inquiries, scan/print documents, provide general office support and any ad hoc duties required.
  • Travel Coordination: Book travel arrangements for team members and coordinate logistics for meetings/events.
