Position Description: Partner Programs Assistant Status: Seasonal (June 1st - August 6th) Location: Basking Ridge / Multi-Campus Compensation: $6,000 - $8,000 (Final compensation will be determined based on experience and education.) Schedule: Monday-Friday, 7:30 AM-3:30 PM The Candidate Profile We are looking for a Site Steward and Service Ambassador who excels at professional hospitality and logistical coordination. The ideal candidate is a proactive communicator who understands that our external partners (world-class sports, arts, and academic providers) are guests on our campus. You are someone who can enforce Pingry’s policies with a service-oriented mindset, ensuring that partners have what they need to succeed while protecting the school’s assets and standards. You thrive in a role that requires "high-touch" coordination, organizational discipline, and the ability to remain calm while juggling multiple moving parts. Position Summary The Partner Programs Assistant is the primary logistical bridge between Pingry and our external program providers. Reporting to the Assistant Director of Auxiliary Programs, Rental Coordinator, this role ensures that daily operations for guest camps are seamless, professional, and compliant with school expectations. By serving as a dedicated point of contact for day-to-day needs, you ensure that "small issues" (like signage, room access, or transition timing) are resolved before they become concerns. Core Accountabilities Partner Liaison & Site Stewardship Serve as the assigned on-site resource for partner camp directors, answering routine questions and facilitating immediate needs. Regularly remind partners of Pingry policies, including safety protocols, trash removal, and equipment care. Maintain a simple, daily log of partner issues and resolutions to help leadership identify trends and improve the partner experience for future seasons. Logistics & Readiness Coordination Support partner "load-in" and "load-out" processes by ensuring spaces are ready-to-receive and that partners understand their space-use expectations (focusing on coordination and handoff, not manual labor). Coordinate essential daily items, including directional signage, radio distribution, water jug staging, and schedule touchpoints. Monitor partner transitions (arrival, lunch, dismissal) to ensure they do not conflict with Pingry Signature programs or campus-wide safety protocols. In the event of inclement weather or facility changes, partner with Pingry Summer Leadership to execute rapid site pivots; serve as the primary messenger to external partners to ensure they understand their indoor/alternative space assignments and that their transitions do not interfere with internal Signature Camp safety protocols. Escalation & Communication Identify and escalate complex partner issues, facility conflicts, or safety violations promptly to the Partner Programs Lead and Summer Leadership team. Required Qualifications Customer Service Mastery: Proven experience in a service-oriented role where relationship management and professional diplomacy were key. Operational Discipline: Highly organized and responsive, with the ability to manage a high volume of small tasks without losing attention to detail. Calm Under Pressure: Ability to navigate the fast-paced "summer machine" environment while remaining a calm and helpful resource for guest providers. Sound Judgment: Ability to follow established protocols and the maturity to know exactly when to escalate a situation to senior leadership. Required Clearances & Onboarding Compliance Hub: You will work with the Summer Employment Operations Manager to complete all digital onboarding and payroll setup via ADP. Clearances: Successful completion of all background checks and NJ Sexual Misconduct/Child Abuse Disclosure releases. Operational Training: Required completion of site-specific orientation and partner-management training prior to the June 1st start date. Physical Requirements for Essential Functions: Ability to perform the essential duties of the role, which include: Traversing a multi-acre campus frequently to access various fields, athletic facilities, and indoor spaces in various weather conditions. Remaining in a stationary position or moving about the campus for extended periods (up to 8 hours) during the camp day. Periodically moving or transporting program equipment (such as water jugs, signage, or supply bins) weighing up to 50 lbs.
