Responsibilities

ROLE SUMMARY

Reporting to the Service Manager and Shop Foreman, the Parts and Service Coordinator will be the company’s front-line customer relations and service sales representative. Based out of our truck centre in Brackley, this role will handle customer service and parts requests and concerns, while meeting department sales, service, and customer retention goals.

WHAT YOU’LL DO

  • Greet customers, establish rapport, determine, and attend to customers’ needs.
  • Listen and accurately document customers reasons for bringing their vehicle to the service department.
  • Offer appropriate services and repairs to satisfy customer requirements or concerns.
  • Provide accurate quotes for services and repairs as requested.
  • Verify proper customer contact and vehicle information with the customer at check-in.
  • Conduct vehicle checklist walk-around to record any vehicle damage or possible needed repairs.
  • Receive telephone approval from customer for all additional needed repairs.
  • Meet or exceed retail sales objectives set by management.
  • Review all repair orders upon completion with technician.
  • Follow-up with Foreman to ensure every completed vehicle and work order are accurate.
  • Customer invoicing office duties and receiving payments.
  • Serve technicians fast and efficiently.
  • Prepare estimates promptly and accurately.
  • Match customers’ needs with appropriate parts or services.
  • Monitor inventory to determine which parts require ordering.
  • Understand, monitor, and meet monthly parts budget targets.
  • Apply company parts counter procedures, such as requiring prepayment for special orders/restocking fees.
  • Search part numbers or use the computer and standard catalogs.
  • Follow-up with technician and customer with parts arrivals.
  • Communicate actively with service department regarding customer and parts updates.
  • Ensure realistic timelines are communicated to customers on parts orders.
  • Monitor bins and quantities to determine which parts need reordering.
  • Accurately track parts.
  • Monitor lost sales for inventory control.
  • Identify and acknowledge the receipt of warranty parts, cores, and supplier returns.
  • Always maintain a clean and organized workspace.
  • Adhere and support all safety requirements and quality standards set forth in the PEI Occupational Health and Safety General Regulations, PEI Occupational Health and Safety Act and BJ’s Truck Centre Safety Management System.
  • Use your experience to identify health and safety deficiencies and support Management in implementing solutions OR report to Management when required.
  • Perform all other duties as assigned.
