Primary responsibilities include ordering parts and supplies, maintaining inventory control, conducting parts/inventory audits, and managing shipping, receiving, and warehousing activities. The role involves ensuring the safe keeping of inventory, equipment, supplies, and materials in compliance with company policies, procedures, and relevant regulations. The Parts Clerk II promotes a safe and clean work environment. Additionally, the Parts Clerk II utilizes various maintenance management software such as Fleetwatch, Tallyfy, and Fleetio to support with the daily administration and recordkeeping of parts purchase orders, inventory stock, and daily fleet tasks. The hourly salary for this role is $26.20. Responsibilities/Essential Functions: Supports with daily tasks of the parts department such as timely ordering, processing, receiving and allocation of parts, supplies, and maintenance inventory activities including pick up and drop off parts and supplies as directed. Assists with researching, cataloging, organizing, and warehousing of parts. Reports shortages and discrepancies immediately to supervisor. Coordinates with Maintenance Shop Supervisors and Technician to execute the maintenance plan for vehicle repairs with ordering, receiving, and distribution of necessary parts. Supports the annual inventory process and reporting schedules; updates and maintains accurate and up to date inventory records. Assists with ordering and purchasing of parts, organization and stocking parts room, inventory counts, year-end inventories, parts and service books updates, and pick up and drop off parts and supplies. Assists with the preparation and review of accident damage repair estimates, warranty claims, core returns, and rebuild components. Enters purchase orders into Fleetio and the Tallyfy system, tracks credit card purchases, and supports reconciliation efforts pertaining to maintenance services and activities. Adheres to Company policies and procedures regarding purchasing and procurement processes. Responsible for the coordination of incoming orders, including the verification of accuracy, quantities, and distribution; handle return and exchanges and escalates issues to supervisor and/or vendor as directed. Administers the tracking and maintenance of fuel and bulk fluids inventory via Fleetwatch software. Supports Safety Date Sheet (SDS) Documentation and assists with HAZMAT labeling on signage. Follows all safety rules and guidelines and general garage/facility protocols in compliance with Company policies and procedures and applicable safety regulations. Develops and maintains effective working relationships with contractors, vendors, and suppliers. Conducts inventory count and audit reporting on a regular basis with direction and guidance of supervisor. Assists with general office duties and tasks such as filing, answering phones, fuel and mileage entries, daily logs, and accepting fuel, oil, DEF, and other deliveries. Supports a positive work environment and ensures a collaborative team focused approach. Assists in the timely and accurate preparation of routine reports as requested by the Parts and Inventory Supervisor. Supports the Parts and Inventory Supervisor with procurement and purchase process as needed. Stays current with relevant industry best practice, technology trends, and safety regulations. QualificationsKnowledge, Skills and Abilities: Knowledge of transit maintenance services, facility maintenance services, and general vehicle maintenance Proficiency with hardware and software programs, specifically those related to fleet inventory and parts management Proficiency with computers and software including Microsoft Office Suites (Excel, PowerPoint, Word, Outlook, etc.) General knowledge and ability to adhere to Transportation based regulations such as DOT, OSHA, FMCSA, and FTA requirements Ability to adhere to safety regulations and corporate safety programs and policies Strong and effective communication skills, orally and in writing Strong ability to organize and prioritize tasks Ability to understand and interpret parts and inventory budgeting principles and processes Ability to work in a fast-paced multi-tasking environment Emotional, Psychological and Physical Requirements: Ability to: Make quick and concise decisions Deal with vendors and providers of services Concentrate on priority tasks with frequent interruptions Deal with emergency situations and/or extreme weather conditions Physically: Frequent standing, bending, and walking Frequently moves throughout maintenance facilities and grounds May spend time on the road in varying weather conditions assisting in maintenance operations Attend occasional meetings on a regular basis internally and externally to the company Lifts heavy loads at times < 60 lbs.
