POSITION GENERAL SUMMARY Primary responsibilities include: • Sell parts to customers • Data accuracy and consistency • Proactive sales phone calls • Customer greeting / service • Sourcing and buying parts The Front Counter Parts Representative reports directly to the General Manager (or Parts Manager). ESSENTIAL FUNCTIONS AND RESPONSIBILITIES Do The Right Thing • Follow the Customer Communication Process to ensure excellent service to our customers. • Effectively communicate features, benefits, and warranty policy information to clients. • Follow all company guidelines when accepting payment from customer via check, credit card, or charge account. Make sure that no client leaves with our parts or their truck without paying unless they have an open credit account in good standing. • Ensure that proper inventory procedures are followed in order to minimize shrinkage. • Maintain professional conduct and appearance at all times. • Ensure overall cleanliness of your workspace, the showroom, inventory area, and outside areas under your influence. Keep all inventory areas, parts, and shelves clean and maintained. Relentless Drive • Offer any suggestions to improve any process, procedure, or segment of the company that you are associated with. • Grow your skills regularly and keep up to date through continuing education in technical knowledge, sales skills, product specs, industry happenings, etc. Never stop learning. Customer Focused • Your role is to take ownership of the day-to-day parts counter sales and sell parts. This role is the front face of our clients both for service and parts. Take every opportunity to grow our business in your greeting to our customers. • Know the customers we serve and anticipate their needs by keeping their data accurate and be pro-active in your phone calls. Both internal and external clients. • Make sure all clients have their information in our system. • Promptly assist walk-in clients in selecting required parts, suggest associated parts requirements, offer specials, ensure that the client is exposed to the full product line. • Most importantly ask questions to understand the needs of the clients and provide custom solutions to fix whatever problems they have. • Answer phone calls and emails, providing price quotes and other information as requested. • Pull purchased parts from stock. • If the part is not in stock, determine availability and submit an emergency order if requested by the client. Ask the client when they need the part to determine whether to place a standard stock or emergency order. • In the situation that we are trying to source and buy parts for a client, update by phone the client each day on the status of the search or every time the status changes. For example, if it is Tuesday and we tell the client that their parts will arrive on Thursday, then if on Wednesday there is not any change, and the parts are still arriving on Thursday then there is no need for a call on Wednesday. Other than that situation, everyone gets a call each day. • Provide consistent follow-up to clients for any quotes that are given. • Set out orders on the counter for clients that are awaiting pickup. Consistently follow up with the client to make sure they pick up the part. If they decide to not purchase it, then create stock return and re-shelve the part. • Review open sales orders every day for orders that need to be followed up on to get the client in and close out the invoice. Win As A Team • Help resolve any part or client issues with the General Manager. • Work with the Inventory Manager in sourcing and buying parts at the best value. • Assist outside sales representatives with gathering information or sourcing parts for their orders and quotes. • Assist service department in sourcing and purchasing parts needed for service repairs in the shop. • Participate in yearly inventory counts and regular cycle counts. • Assist in shelving and putting away incoming stock inventory and new inventory stock. • Special duties as assigned by direct supervisor. PERFORMANCE STANDARDS • Handle internal parts sourcing requests estimated and on the work order within 1 business day. • Achieve monthly over-the-counter revenue goal per annual goal as communicated by General Manager. • Answer incoming phone calls by the 3rd ring. Return all voicemails within 2 hours. REQUIREMENTS AND QUALIFICATIONS • Sales experience in the medium / heavy-duty truck parts industry required. • Computer operating proficiency including competence with all Microsoft Office programs, industry specific applications and technical program. • Able to safely lift 50 pounds, walk, sit and climb.
