Description We’re a fast-growing national Commercial HVAC services company, and we’re looking for a Parts Department Associate to help support our procurement and logistics operations across our five markets — California, Arizona, Nevada, Texas, and Florida. This role is all about accuracy, communication, and keeping our technicians equipped with the parts they need to get the job done. You’ll help source and order parts, track shipments, work with vendors, and make sure everything gets where it needs to be on time. What You’ll Do: Support technicians and service teams by sourcing and ordering parts across all active markets. Work directly with HVAC vendors and distributors to check pricing, availability, and product details. Coordinate shipments and pickups — including direct-to-site and direct-to-technician deliveries — to ensure accuracy and quick turnaround. Communicate lead times and order status to Estimators, Area Service Managers, and Project Managers. Assist with purchase order entry, reconciliation, and ensuring vendor invoices match what was ordered and delivered. What Success Looks Like in the First 6 Months Build strong working relationships with key vendors and internal teams. Improve order accuracy and help reduce delays in parts delivery. Provide clear, timely updates to internal teams so they always know the status of parts orders. Spot workflow or system issues in the parts process and share ideas for making things more efficient. #AuthorityHVAC Requirements 1–2 years of experience in parts procurement, supply chain, inventory, warehouse, or a related administrative/operations role. Basic knowledge of HVAC parts and components or willingness to learn quickly. Strong organizational skills with the ability to manage multiple open orders and requests at once. Excellent communication skills for coordinating with technicians, managers, and vendors. Proficiency with computer systems, including email, spreadsheets, and purchasing or ERP systems (NetSuite, BuildOps, or similar preferred but not required). Proficiency with major distributor and manufacturer online ordering platforms (e.g., Johnstone, Carrier, Trane, Lennox, Ferguson, etc.) and the ability to navigate them efficiently for sourcing and order management. Ability to track details accurately, including model numbers, pricing, quantities, and shipping details. Comfort working in a fast-paced service environment with shifting priorities. Dependable and consistent follow-up, ensuring orders and shipments don’t fall through the cracks. #AuthorityHVAC
