Description

The Secretary is the main point of contact for Tottenham United Church. The Secretary, in consultation with the Minister, ensures that all members of the congregation are up to date on current events and consults with the Minister and committee members to provide administrative support.
Duties and Responsibilities
Administration:
Receive Order of Worship from the Minister and create a large-print version for anyone with visual impairment, when required.Placed at front of church for Sunday service.

Print copies of service for choir members for Sunday and placed in choir loft.

  • Retrieve mail from the Post Office and distributeaccordingly. * In consultation with the Minister and in accordance with the guidelines from the United Church of Canada, maintain records for Baptisms, Deaths, and Marriages and assist with member roll. * Purchase office supplies for the church as needed. * Maintain office equipment including telephones, internet, computers, and printers. * Keep a hard copy of committee meeting minutes, as received, in a binder in filing cabinet in Tower Office. * Prepare Greeter, Reader, Collection, and coffee scheduleeach month. * Prepare an annual event schedule and update as required. * Act as administrative support to the Minister and various committees, as requested. * Booking Coordinator for Tottenham Church sanctuary, themain hall, kitchen, and Friendship Room. * Prepare Annual Report, in consultation with the Minister, for the Official Board to review at an OB meeting before the Annual General Meeting. After approval print copies at Staples in Alliston. These are to be distributed two weeks before the first Annual General Meeting. Some copies to be sent via email. * Prepare and submit, in consultation with the minister, the Annual Statistical report for United Church of Canada.

Communication:

  • Prepare and submit a weekly email newsletter, in consultation with the Minister and committee members. Hard copies madeavailable for those with no internet access. * Ensure communications are following Canadian Anti-Spam legislation. * Update church privacy policy when required. Always ensure confidentiality. * Post information regarding policies and/or events on the church website and Facebook page, in consultation with Minister and Committee members. * Use tact, initiative and discretion when communicating with Minister, Congregation members and external parties. * Act as a liaison and information conduit for sensitive issues. * Prepare paper mailouts for congregation members without internet access. * Be available to the Minister and members of Congregation via email. * Create marketing materials for events when requested. * Collaborate with Minister and committee members to advertiseevents.

Qualifications

  • Post-secondary education in Office Administration or two years of equivalent experience. * Excellent organizational and communication skills. * Able to work with a diverse group of people. * Proficient with Microsoft Word, Excel, and Outlook software. * Experience with social media including Facebook. * Experience with marketing non-profit businesses would be an asset. * Confidentiality and communication skills.

Orientation and Training. Will be provided as needed.
4.5 hours per week in office and 1/2 hour ad hoc
