We’re looking for a Patient Access Manager to lead our front-end operations and ensure that every patient’s experience—from their first call to their first appointment—is smooth, professional, and welcoming. Under the supervision of the Director of Behavioral Health, the Patient Access Manager oversees patient admissions, registration, scheduling, and customer service activities. This position provides leadership and accountability for all front-end processes, including reception, intake, and scheduling—ensuring accuracy, efficiency, and compliance across all patient-facing operations. Hire, train, and support team members to ensure excellent service and compliance with agency standards. Drive Efficiency and Accuracy: Oversee patient scheduling, registration, and insurance data collection. Implement best practices to improve workflow, reduce errors, and optimize patient experience. Ensure Financial Accountability: Oversee collection of patient financial liabilities, daily deposits, and petty cash management; collaborate with finance and billing teams to address delinquent accounts. Maintain Office Operations: Coordinate mail distribution, supply ordering, and vendor relationships (cleaning, landscaping, security, telecommunications, etc.) to keep the office running smoothly. Support Staff Transitions: Manage onboarding and offboarding for employees assigned to your location—ensuring workspace setup, system access, and needed supplies are ready from day one. Collaborate and Represent: Work closely with clinical, billing, and medical teams and represent the agency at community meetings and events. Requirements What You’ll Bring: Education: High school diploma or GED required; post-secondary training or education preferred. Experience: Prior supervisory experience preferred. Knowledge of medical office operations and insurance billing; experience in mental or behavioral health a plus. Skills: Excellent communication, interpersonal, and organizational skills. Strong attention to detail and problem-solving ability. Ability to prioritize and work effectively in a fast-paced environment. Comfortable with technology and EHR systems. Additional Requirements: Must meet all regulatory requirements for Community Mental Health Center employees in Iowa or Illinois, including background checks and exclusionary screenings. Ability to travel between work sites as needed. Must be able to lift up to 20 lbs and work occasional evenings or weekends.
