Description The Patient Access Representative serves as the first point of contact for patients entering the healthcare facility and plays a critical role in ensuring the smooth and efficient operation of the patient registration and financial intake process. This role is responsible for gathering accurate patient information, verifying insurance coverage, and scheduling appointments all while effectively managing patient interactions to ensure a positive experience. The Patient Access Representative will work closely with healthcare providers, insurance companies, and patients to ensure all necessary information is accurately documented for billing and insurance purposes. ESSENTIAL DUTIES AND RESPONSIBILITIES (Other duties may be assigned) Greet patients and verify personal, financial, and insurance information for accuracy. Collect and input demographic and insurance details into the Electronic Health Record (EHR) system. Ensure all required forms are completed accurately and in a timely manner. Verify patient insurance coverage and eligibility before appointments or procedures. Obtain prior authorization for procedures or services as required by insurance providers. Resolve discrepancies in insurance or coverage information with patients or insurance companies. Schedule patient appointments based on physician availability and patient needs. Provide patients with necessary pre-appointment instructions and information. Confirm appointments and assist with rescheduling as necessary. Inform patients about co-pays, deductibles, and insurance benefits before service delivery. Communicate financial responsibility expectations to patients. Assist patients with payment options, setting up payment plans, and financial assistance programs as necessary. Act as a liaison between patients, healthcare providers, and insurance companies. Address patient inquiries and concerns regarding appointments, billing, and insurance coverage. Handle sensitive patient information with confidentiality, adhering to HIPAA regulations. Collaborate with clinical and administrative staff to ensure a seamless patient experience. Support the team in resolving any operational issues related to patient access. QUALIFICATIONS EDUCATION, CERTIFICATION/LICENSURE AND EXPERIENCE Certification in Patient Access (e.g., Certified Healthcare Access Associate (CHAA)) preferred by not required. Previous experience in a healthcare setting, particularly in patient registration, insurance verification, or customer service, is preferred. Experience with Electronic Health Records (EHR) and scheduling software is an advantage. SKILLS/ABILITIES Communication Skills: Excellent verbal and written communication abilities to interact with patients, families, and colleagues. Attention to Detail: High level of accuracy when entering patient information and verifying insurance details. Problem-Solving Skills: Ability to troubleshoot and resolve issues related to patient registration and insurance coverage. Time Management: Ability to manage multiple tasks simultaneously in a fast-paced environment. Confidentiality: Understanding and adherence to HIPAA regulations to maintain patient privacy. Technical Skills: Proficient with Microsoft Office Suite (Word, Excel, Outlook) and patient management software. PHYSICAL DEMANDS Hearing: Adequate to perform job duties in person and over the telephone. Speaking: Must be able to clearly communicate in person and over the telephone. Vision: Visual acuity adequate to perform job duties, including visual examination of patient (if applicable) and reading information from printed sources and computer screens. Other: Requires frequent lifting and carrying items weighing up to 30 pounds unassisted, including assisting patients when required. Adequate physical ability includes sufficient manual dexterity to perform the requisite health care service needed. Requires frequent bending, reaching and repetitive hand movements, standing, walking, squatting and sitting with some heavy lifting, pushing and pulling. WORK ENVIORNMENT While performing the duties of this job, employee may be exposed to risk of infectious diseases and bodily fluids when interacting with patients and/or family members. The employee may be occasionally exposed to moving mechanical parts, fumes or airborne particles, and toxic or caustic chemicals.
