Performs screenings with patients for applicable exams. Notifies patients of procedure prep, direction, and expected payment at time of arrival. Pre-registers accounts and updated demographics for all scheduled patients. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential function PRINCIPAL JOB DUTIES AND RESPONSIBILITIES: Adhere to all policies of the organization, including (but not limited to) job description, dress code, certification/licensure requirements, mission statement, HIPAA, confidentiality standard, and patients’ rights. Make a positive contribution to the organization’s culture and stay up to date on its communications and directives. Must possess strong people skills to communicate effectively with patients, co-workers, the Procedure Coordinator, and the Service Line Director. Contact the patient within 24 hours of receiving the referral to schedule or notify them of the required authorization. Maintain contact with the patient until the referral is approved, insurance is verified, authorization is obtained, and the patient is ready to schedule. Schedule, confirm, and maintain patient appointments in the scheduling module within EMR. Demonstrate streamlined processes to maintain safety and quality through accurate patient identification, validate/update Master Patient Index (MPI) according to departmental policy, protect personal health information, and accurately interpret physician orders, as evidenced by quality audits and reviews. Pre-register patient accounts in EMR prior to arrival. Scan documents to patient accounts. Enter detailed notes in patient accounts. Contact patients prior to appointment to confirm demographic information. Contact patients prior to appointment to confirm financial obligations. Work with patients and the Financial Counselor to meet financial obligations. Contact patients prior to appointment to complete required screening forms. Contact patients prior to appointment to review exam prep. Notify providers of confirmed and canceled appointments. Coordinate daily schedules with ancillary departments. Check voice mail and e-mail daily and continuously throughout the day. Audit accounts daily. Maintain a clean, well-organized work area and adhere to infection control guidelines. Maintain a clean patient waiting area and adhere to infection control guidelines Assist patients entering and exiting the facility. Attend required department meetings. Attend required educational, compliance, and safety program sessions. Complete the required educational SWANK assignments. Other duties as assigned. Note: The Patient Access Department provides patient care 24/7. To provide the highest quality care to our patients, individuals may be required to work beyond their scheduled shifts and must comply with Cleveland Area Hospital’s attendance policy. This includes holidays and inclement weather. Employees are expected to arrive at their positions in uniform and using the hospital time system, and be clocked in promptly at the beginning of their shift. EQUIPMENT: Computer and Printer Copy Machine Fax Machine Telephone Requirements EDUCATIONAL/SKILLS REQUIRED: High School diploma required Excellent customer service skills Excellent communication and organizational skills Working knowledge of computer-based applications and strong PC/keyboard skills Must be detail-oriented, able to organize paperwork and flow of patients through the registration/scheduling process while maintaining a professional image. Ability to multitask EXPERIENCE: 2 years of experience in a hospital setting or medical office. 2 years of experience with scheduling in the medical field, hospital, or a physician's office, preferred but not required. Medical terminology preferred but not required.
