They assist in leading the scheduling and authorizations team with scheduling appointments, processing authorizations, order entry and confirmation calls in an efficient and timely manner. Essential Job Functions Duties include, but are not limited to: Monitoring the scheduling and authorizations department in processing all authorizations and correspondence relating to referrals in patients charts and computer system. Develops and maintains proficiency in the software and systems utilized in the department. Oversee new and returning appointments are documented in the Electronic Health Records (EHR) system in accordance with physician and/or office policies and procedures. Provides department process training to Patient Access Coordinators. Managing attendance and schedules for appointed team. Provides recommendations on policy and procedure updates to contribute to the efficiency of the department. Assists the department achieve consistency and standardization in processes. Provides coverage for department functions as needed, which includes Patient Access staff located at all IIH sites. Prepares correspondence, memos, and forms as requested by department manager. Analyzing schedule productivity and performance and identifying areas of improvement. Identifies department needs and ensures necessary equipment or supplies are available. Provides meaningful input and recommendations to direct their supervisor for mid-year and annual performance evaluations. Provides meaningful input to direct manager for discipline, when necessary. Responsible for overseeing the training of new hires within the department. Assists staff with questions related to their functions/operations. Assists direct supervisor with timecard corrections, and monitoring time off requests. Demonstrates an understanding and applies knowledge of patient confidentiality regulations to protect the patient and organization. • Ability to transfer/supervise for another department as needed. Attend and participate in staff meetings, in-services, projects, and committees assigned. Adhere to and support the company’s practices, procedures, and policies including assigned break times and attendance. Accept assigned duties in a cooperative manner; and perform all other related duties as assigned. Be flexible in schedule of hours worked. May be required to use personal vehicle, if applicable. If using a personal vehicle, a valid California Driver’s License, current proof of insurance, and registration is required. Travel to other Innovative Integrated Health locations on occasion is necessary for coverage needs and management oversight. Position is required to be onsite. Qualifications Knowledge, Skills and Abilities Proficient knowledge of computer skills. MS Office (Word, Excel, Access, PowerPoint, and Outlook). Knowledge of general office procedures, equipment and filing systems. Ability to communicate effectively, both orally and in writing. Ability to quickly learn department policies, procedures, goals, and services. Skill: Attention to detail and accuracy. Ability to change priorities regularly. Ability to communicate verbally with an excellent comprehension of the English language. Work is generally performed in an indoor, well-lit, well-ventilated, heated, and air-conditioned environment. Experience Minimum of (2) two years of demonstrated successful experience in managing a multi- disciplinary staff and non-exempt employees. Minimum of one (1) year of documented experience working with a frail or elderly population. Education and Certification At a minimum a High School Diploma or GED is required. Is medically cleared for communicable diseases and has all immunizations up-to-date before engaging in direct participant contact.
