Patient Administration Officer

Casual / Permanent Part Time/ Full Time Role

About the Role

Aegis Health is seeking an organised and customer-focused Patient Administration Officer to join our dedicated team. In this vital front-line role, you’ll provide professional and efficient administrative support to ensure a smooth experience for patients, families, and clinical staff.

This is a diverse position covering reception, admissions, bookings, and medical records, where your attention to detail and compassionate communication will make a real difference every day.

Key Responsibilities

General & Reception Duties

  • Greet patients and visitors with warmth, professionalism, and empathy.
  • Handle telephone and in-person enquiries, directing them appropriately.
  • Maintain patient confidentiality and uphold Aegis Health values at all times.
  • Ensure adequate supply of stationery, healthcare forms, and other essential items.

Admissions & Bookings

  • Collect, verify, and accurately enter patient details into the Patient Administration System.
  • Confirm private health insurance details and manage financial consent documentation.
  • Process payments and complete daily reconciliations.
  • Coordinate bookings and admissions, liaising with patients, theatre teams, and consulting rooms.

Medical Records & Ward Support

  • Prepare, collate, and file medical documentation accurately.
  • Manage medical record tracking, scanning, and off-site storage processes.
  • Support clinical staff by arranging bookings for tests, transport, and equipment.

Governance, Safety, and Professional Development

  • Participate in ongoing training and contribute to continuous improvement initiatives.
  • Adhere to all safety, privacy, and legislative requirements.
  • Promote a culture of accountability, teamwork, and quality service.

About You

Essential:

  • Previous experience in a healthcare or customer service role (medical setting preferred).
  • Excellent communication, organisational, and time management skills.
  • Strong computer literacy and accurate data entry skills.
  • Proven ability to manage multiple priorities and work effectively in a team environment.
  • Experience handling cash and electronic payments with attention to accuracy.
  • Commitment to Aegis Health’s vision, values, and patient-centred care.

Desirable:

  • Knowledge of medical terminology.
  • Experience using hospital administration systems.
  • Understanding of Equal Opportunity, Disability Services, and Work Health & Safety principles.
