Description The primary responsibilities of a Patient Advocate Coordinator include managing inbound marketing leads, scheduling appointments, and conducting in-person consultations. This role involves answering and initiating lead calls, tracking lead activity, and coordinating consults—primarily for full arch implants and other advanced dental procedures. A key focus of this position is delivering professional, empathetic, and personalized care both over the phone and in person, guiding patients through their treatment decision-making journey. A Patient Advocate Coordinator is a customer service/sales position. Patient Advocate Coordinator's goal is to enhance the patient experience through exceptional care and service, guiding patients through their decision-making process with the ultimate goal of securing appointments, directly contributing to the achievement of Rivertown Dental's practice objectives. Performance Objectives (including but not limited to): Primary focus: offer exceptional care to each person engaging with our practice. Ensure HIPAA protocols are followed. Monitors the schedule continuously and ensures appropriate time slots are full and clinician’s time use is efficient. Answers the phone the RTD Way, every time. Assists answering incoming calls or making outgoing calls/follow-ups to potential leads for advanced treatment cases. Practices and implements “Start Saying” phrases as well as all Admin training documents. Provides clear and caring communication to every patient, including following up in a timely manner (less than 2 hours) to emails, texts, and other messages. Engages in actively learning all new and existing software Learns and maintains knowledge of the CRM system to manage both incoming leads and current patient communication. Collaborates with the marketing team to address CRM updates, concerns, and lead tracking accuracy. Performs pre-appointment scripting confirmation calls and rescheduling Supports efficient and welcoming check-in and check-out processes to ensure a smooth patient experience. Handles in-person consultations with professionalism, empathy, and attention to patient needs. To ensure all essential tasks can be accomplished, any additional duty needs clearance from the Office Specialist. Travel between the Holmen Office and Support Center. Capabilities/Key Competencies: Exceptional telephone etiquette, organizational skills, and customer service and sales skills. Desire to learn new systems and protocols and have the ability to implement them Caring at the core, trustworthy, and dedicated to your profession Detail oriented, able to multitask and effectively manage time in a fluid daily schedule Requirements Education & Experience: Preferred: Proficient in dental practice management software Fluent in dental terminology Required: Moderate to advanced Sales background Experience in learning and working with multiple software systems Expert knowledge of general administrative practices.
