Position Summary The Patient Care Coordinator plays a key role in ensuring a positive and seamless experience for patients from their first point of contact through their treatment journey. This position combines customer service excellence, organizational skill, and administrative accuracy to manage scheduling, verify insurance, and support front office operations. The role requires professionalism, strong communication skills, and the ability to multitask in a fast-paced dental or medical practice environment. Requirements Primary Responsibilities Scheduling & Coordination Schedule, confirm, and manage patient appointments to ensure efficient provider schedules. Coordinate follow-up appointments and rescheduling as needed. Communicate clearly with patients about appointment requirements, preparation instructions, and timelines. Patient Communication & Support Serve as the first point of contact for patients, answering and directing high-volume calls in a professional manner. Provide accurate information regarding office policies, treatment expectations, insurance coverage, and wait times. Maintain a patient-focused approach, ensuring questions and concerns are addressed promptly. Insurance & Financial Processes Collect, review, and verify patient insurance information. Communicate potential out-of-pocket costs and obtain necessary authorizations when applicable. Collaborate with billing or insurance coordinators to ensure claim accuracy. Administrative Duties Accurately perform data entry and maintain up-to-date patient records in the practice management system. Ensure all necessary patient documentation is completed, scanned, and stored in compliance with HIPAA regulations. Assist with general front office operations, including filing, faxing, and handling correspondence. Collaboration & Workflow Partner with clinical teams to coordinate patient flow and minimize wait times. Assist team members during peak hours to ensure smooth operations. Maintain a clean, organized, and welcoming front office environment. Qualifications Education & Experience High school diploma or equivalent required; associate’s or bachelor’s degree preferred. Minimum of 1 year experience in a dental, oral surgery, or medical office preferred. Familiarity with dental/medical terminology and insurance verification processes. Technical Skills Proficiency with practice management software (WinOMS, Dentrix, Eaglesoft, or similar). Competent in Microsoft Office Suite (Word, Excel, Outlook). Strong data entry accuracy and attention to detail. Soft Skills Excellent communication and customer service skills. Ability to multitask and prioritize in a high-paced environment. Team-oriented mindset with problem-solving abilities. Bilingual abilities are a plus.
