Description Job Title: Patient Care Coordinator Location: Vienna, VA Compensation: $22–$25/hour The Ross Center's team is growing and we're looking for a dedicated Patient Care Coordinator to join us! The Ross Center is a premier mental health practice, delivering a full spectrum of sophisticated psychiatric and psychological services that result in meaningful change for you and your family. The Patient Care Coordinator will be responsible for answering inbound phone calls, recording messages, scheduling appointments, checking patients in and out, collecting and applying payments, assisting with program coordination, and providing TMS service support including delivering care to patients. ESSENTIAL FUNCTIONS: Answer telephones promptly and in a polite and professional manner. Oversees patient flow and ensures patients are seen in a timely manner. Documents concise, thorough, and accurate information in the EMR. Registers new patients in the EMR. Schedules appointments for existing and new patients, utilizes Zoom for telehealth links. Assists patients in completing all necessary forms. Achieves and maintains competency with TMS services, providing direct patient care as assigned. Understands when to escalate calls to clinicians/Office Manager/Director. Collects patient fees, process credit card transactions, and collects balances due from patients. Demonstrates flexibility in providing coverage and/or availability via scheduling adjustments. Makes reminder calls as requested. Assists with accounts receivable follow up and patient outreach for updated credit cards. Aids with mailings and other projects (i.e., marketing projects). Provides support programs at The Ross Center Programs which includes a variety of groups at all locations. Maintains strictest confidentiality. Tidy waiting area, kitchen, and assists with supply management. Other duties as assigned by the Office Manager or Office Directors. The job holder must demonstrate current competencies applicable to the job position. KNOWLEDGE: Knowledge of grammar, spelling, and punctuation to type correspondence. Knowledge of billing practices and clinic policies and procedures. Knowledge of medical terminology is helpful. SKILLS: Skill in computer programs, spreadsheets, and applications. Skill in using a calculator. Skill in typing. ABILITIES: Ability to communicate effectively and work with others. Ability to understand and interpret policies and regulations. Ability to prepare documents in response to complaints and inquiries. Ability to read, understand and follow oral and written instruction. Ability to demonstrate good customer service. Ability to exercise good judgment to handle calls appropriately. Ability to work quickly and multi-task effectively and efficiently. Ability to handle confidential and sensitive information. Ability to treat all patients with the utmost kindness and consideration in the most trying situations. Ability to relate to patients, through familiarity with medical terminology and triage procedure. Requirements Qualifications: Associates’ or Bachelor's Degree preferred Minimum of two years of healthcare or hospitality experience preferred ENVIRONMENTAL/WORKING CONDITIONS: Work is performed in an open office environment. Involves frequent contact with staff, patients, and the public. Work may be stressful at times. Contact may involve dealing with angry or upset people. PHYSICAL/MENTAL DEMANDS: Work may require hand dexterity for office machine operation, stooping and bending to files and supplies, mobility to complete errands or deliveries, or sitting for extended periods of time.
