Description Key Responsibilities Patient & Treatment Coordination Present and explain treatment plans to patients with confidence and professionalism. Discuss insurance coverage, out-of-pocket costs, and available financing options. Coordinate all aspects of patient care from consultation through post-operative follow-up. Conduct post-operative calls for surgical patients and address patient concerns. Maintain the highest level of customer service and patient satisfaction. Surgeon Support Meet daily with the assigned surgeon to review schedules, patient cases, and operational needs. Manage and maintain surgeon scheduling templates and preferences. Coordinate appointments and treatment timelines based on surgeon availability and clinical priorities. Ensure all required surgical equipment, instruments, hardware, and supplies are available before treatment. Insurance & Case Management Verify that all required authorizations, referrals, and approvals are obtained prior to treatment. Coordinate medical clearances when required. Collaborate with insurance companies, billing teams, hospitals, and outside providers to ensure seamless patient care. Maintain compliance with all office policies regarding fees, documentation, and insurance requirements. Communication & Administrative Leadership Serve as the primary point of contact between patients, referring offices, surgeons, dental laboratories, hospitals, and internal departments. Respond to internal and external communications promptly and professionally. Coordinate complex treatment cases involving multiple providers and facilities. Maintain accurate patient records and documentation utilizing practice management software and Microsoft Office applications. Stay informed on procedures, treatment options, and scheduling protocols to effectively support patients and providers. Compliance & Professional Development Maintain compliance with OSHA, HIPAA, DHEC, and all company policies. Attend required meetings, training sessions, and continuing education opportunities. Perform additional duties as assigned by management. Requirements Required Skills Exceptional verbal and written communication skills. Strong customer service and interpersonal skills. Proficiency with Microsoft Office (Outlook, Word, Excel, Teams) and practice management software. Ability to manage multiple priorities while maintaining accuracy and professionalism. Strong organizational, problem-solving, and time-management skills. Ability to work independently while collaborating effectively with surgeons and team members. Preferred Experience 3+ years of dental, oral surgery, medical, or specialty healthcare experience. Previous experience in treatment coordination, surgical scheduling, insurance coordination, or patient care management. Experience presenting treatment plans and discussing financial arrangements with patients. Travel Requirements Travel with the assigned surgeon to all scheduled practice locations as part of their regular rotation. Additional travel to other practice locations may be required based on operational needs and at the direction of management. Reliable transportation and the ability to travel regularly between offices are required. Travel is an essential function of this position. Schedule Full-time, Monday through Friday Hours may vary based on surgeon schedules, patient needs, and practice operations. Occasional flexibility may be required to support patient care and practice initiatives.
