We are seeking an energetic and professional Patient Care Coordinator to be the welcoming face and organizational backbone of our clinic.

JOB SUMMARY:

The Patient Care Coordinator is the first point of contact for our patients, playing a vital role in delivering an outstanding patient experience. In this position, you will manage appointment scheduling, patient communications, and administrative tasks while supporting both clinical and operational functions. You will work closely with our medical professionals to facilitate high-quality care and build lasting relationships with our patients.

QUALIFICATIONS:

  • High school diploma or equivalent required; additional education in healthcare administration, medical assisting, or a related field is a plus.
  • Previous experience in a medical office, healthcare setting, or customer service role, preferably within an aesthetics or dermatology environment.
  • Excellent verbal and written communication skills with a strong customer service orientation.
  • Proficiency in using electronic medical records (EMR) systems and standard office software (e.g., Microsoft Office Suite).
  • Strong organizational skills and the ability to multitask in a fast-paced environment.
  • Knowledge of HIPAA guidelines and patient confidentiality practices.
  • A professional demeanor and a genuine passion for patient care.

PREFERRED QUALIFICATIONS:

  • Experience in a medical aesthetics or cosmetic clinic setting.
  • Familiarity with aesthetic treatments and procedures.
    Additional certifications in medical office administration or patient care coordination.

Responsibilities
  • Patient Reception & Service:
  • Greet patients warmly as they enter the clinic and assist with check-in processes.
  • Provide clear and compassionate information about clinic services, treatment options, and procedures.
  • Maintain up-to-date knowledge of skin care products to advise and educate patients effectively.
  • Appointment Coordination:
  • Manage incoming calls and emails to schedule, confirm, and reschedule appointments efficiently.
  • Maintain an organized calendar and coordinate with clinical staff to optimize daily schedules.
  • Clinical Support:
  • Prepare treatment rooms between appointments, ensuring they are cleaned, tidied, and fully stocked.
  • Assist nurse injectors and other clinical staff as needed during treatments or procedures.
  • Ensure that all clinical areas adhere to health and safety standards at all times.
  • Administrative Support:
  • Collect and verify patient information, medical histories, and insurance details, ensuring all data is accurately entered into the system.
  • Prepare and manage patient files, ensuring confidentiality and compliance with PIPEDA regulations.
  • Handle correspondence, billing inquiries, and follow-up communications as needed.
  • Process patient payments and manage financial transactions accurately.
  • Conduct inventory checks for medical supplies and skin care products, ensuring stock levels are maintained.
  • Perform opening and closing duties for the day to support smooth clinic operations.
  • Team Collaboration:
  • Work closely with medical and administrative teams to ensure a seamless patient experience from consultation through treatment.
  • Assist in coordinating patient care plans and follow-ups, including post-treatment instructions and satisfaction checks.
  • Problem Resolution:
  • Address patient concerns with empathy and professionalism, resolving issues promptly or escalating them as needed.
  • Gather patient feedback to help improve service quality and clinic operations.
