About Us

East Coast Plastic Surgery is a busy and growing specialist plastic and reconstructive surgery practice committed to providing exceptional patient care.

Our team includes three Plastic & Reconstructive Surgeons, supported by an experienced team of nurses, allied health professionals and administrative staff. We manage a diverse range of patients across cosmetic surgery, skin cancer, reconstructive surgery and acute trauma.

The Role

We are looking for a full-time Patient Co-ordinator to join our team.

This is a varied and fast-paced role suited to someone who genuinely enjoys working with people, is highly organised and can confidently manage multiple priorities.

You will be involved in coordinating patients from their initial enquiry or referral through consultations, surgery and follow-up care, while working closely with our surgeons, nurses, allied health professionals, hospitals and other healthcare providers.

Key Responsibilities

  • Providing a warm, professional and helpful experience for patients both in person and over the phone
  • Managing incoming calls, emails, referrals and patient enquiries
  • Managing consultations, surgical bookings, post-operative appointments and follow-up care
  • Coordinating patients across a diverse range of cosmetic, reconstructive, skin cancer and acute trauma presentations
  • Liaising with surgeons, hospitals, anaesthetists, allied health providers, referring doctors and insurers
  • Preparing and maintaining accurate electronic patient files and documentation
  • Processing patient accounts, Medicare claims, private health insurance and WorkCover billing
  • Assisting with clinical photography and imaging
  • Ensuring patients have the required documentation, information and clearances prior to surgery
  • Supporting the wider clinical and administrative team to ensure the smooth day-to-day running of the practice

About You

Previous experience in medical reception, specialist practice or patient co-ordination is desirable but not essential. We are happy to train the right person who has a great attitude and is eager to learn.

Ideally, you will have:

  • Exceptional customer service skills and a genuine interest in patient care
  • Excellent verbal and written communication skills
  • Strong organisation and attention to detail
  • Confidence using computers and learning new systems
  • The ability to prioritise and stay calm in a busy environment
  • Experience with Medicare, private health insurance and WorkCover processes would be highly regarded
  • Understanding of medical terminology relating to plastic, reconstructive and trauma surgery is advantageous

The Person We’re Looking For

You will be someone who takes ownership of their work, notices the little things and isn't afraid to problem-solve. You will need to communicate confidently with patients and healthcare professionals while maintaining empathy and professionalism, particularly when dealing with patients who may be undergoing surgery or presenting following an injury or trauma.
