Description Job Summary: The Front Desk Coordinator is responsible for warmly welcoming patients, managing scheduling and administrative tasks, and supporting the clinical and administrative teams in ensuring a seamless patient journey. Key Responsibilities: Greet patients with a friendly, professional demeanor Answer phone calls, texts, and emails promptly and professionally Schedule and confirm appointments using [practice management software – e.g., Dolphin, Ortho2, Cloud9] Maintain and update patient records accurately Handle patient check-in and check-out processes Collect and process co-pays and payments Coordinate with clinical staff to ensure timely patient flow Maintain a clean, organized, and welcoming front office area Assist with insurance verification and claims when needed Support marketing and patient engagement efforts (referrals, reviews, contests, etc.) Uphold HIPAA compliance and patient confidentiality at all times Qualifications: High school diploma or equivalent (required) 1+ year of front desk or customer service experience (dental/orthodontic preferred) Familiarity with orthodontic terminology and insurance processes is a plus Strong communication and organizational skills Professional appearance and positive attitude Ability to multitask and remain calm under pressure Proficiency with Microsoft Office and practice management software Preferred Soft Skills: Friendly and patient-focused demeanor Problem-solving mindset Team player attitude Adaptability in a fast-paced environment Strong attention to detail
