Description

The Clinic Coordinator – Back Office supports the smooth and efficient day-to-day back-office administrative operations of the clinic. The role is responsible for maintaining accurate client records and documentation, coordinating appointment schedules, supporting insurance-related administrative processes, following up on outstanding documentation and payments, and assisting clinicians and the wider team with administrative requirements. The position also involves managing files and records, preparing reports and correspondence, coordinating internal administrative activities, and ensuring that clinic processes are completed accurately and efficiently while maintaining strict confidentiality of sensitive client information


Key Accountabilities

  • Provide back-office administrative support to ensure smooth day-to-day clinic operations
  • Coordinate and maintain accurate appointment schedules...
  • Maintain and update client records, forms, reports, and other documentation
  • Support clinicians with back-office administrative and documentation requirements
  • Assist with insurance-related administrative tasks...
  • Manage data entry, filing, scanning, photocopying, and document organization
  • Coordinate with internal teams regarding appointments, documentation, insurance, and other administrative matters
  • Follow up on outstanding payments, documentation, and administrative requirements
  • Prepare reports, correspondence, and other administrative documents
  • Maintain confidentiality of sensitive client and clinical information


Qualifications/Requirements

  • Bachelor’s degree in Psychology, Nursing, Business, or a related field
  • Previous experience in a back-office, administrative, coordination, or healthcare/clinic environment is preferred
  • Strong IT skills, including proficiency in Microsoft 365 (Outlook, Word, Excel, Teams)
  • Excellent written and spoken English is a MUST
  • Strong administrative and organizational skills with excellent attention to detail
  • Ability to manage documentation, records, and data accurately
  • Professional communication and interpersonal skills
  • Ability to work effectively as part of a team and adapt to a fast-paced environment
  • Discretion and confidentiality when handling sensitive client information
  • Immediate joiners are preferred
