We are seeking a highly organized and professional Patient experience coordinator/Administrative Assistant to join our dynamic healthcare team. The ideal candidate will have experience as receptionist or administrative assistant, strong administrative skills, and the ability to thrive in a fast-paced environment. This role requires someone who can provide exceptional support to both patients and healthcare professionals while managing a variety of administrative tasks efficiently. Extensive training will be provided on billing software and procedures to ensure your success in this role.This role requires excellent organizational skills, strong customer service abilities, and proficiency in various office software. Experience in a physiotherapy/chiropractic office setting is preferred.

Responsibilities:

RESPONSIBILITIES

  • Greet patients and visitors warmly, ensuring a welcoming environment.
  • Schedule and manage patient appointments, maintaining up-to-date calendars.
  • Handle incoming calls, emails, and inquiries with professionalism and promptness.
  • Verify and process patient insurance details, including EHB, WSIB, and Motor Vehicle Accident (MVA) claims.
  • Accurately manage billing processes, including preparing invoices, handling payments, and resolving billing inquiries.
  • Utilize billing software effectively—extensive training will be provided.

Key Responsibilities:

  • Serve as the primary point of contact for patients, ensuring a welcoming and supportive environment.
  • Must have knowledge with regards to billing insurance companies
  • Knowledge with WSIB, MVA, CNR
  • Assist with day-to-day operations of the clinic.
  • Implement strategies to improve patient satisfaction and engagement.
  • Collaborate with the team to attract new patients through innovative marketing efforts.
  • Use technology effectively to streamline processes and enhance communication.
  • Order office supplies and manage inventory to ensure smooth clinic operations.
  • Collect and distribute mail from the post office.
  • Perform general receptionist duties such as filing, data entry, and drafting correspondence.
  • Stay at the clinic from opening to closing, ensuring all tasks are completed effectively.
  • Requirements
  • Prior experience in a medical clinic (good to have).
  • Proficiency in handling WSIB, EHP, and MVA billing processes (training provided).
  • Strong organizational skills and high attention to detail.
  • Excellent communication skills, both verbal and written.
  • Ability to multitask and perform efficiently under pressure in a busy clinic environment.
  • Flexibility to adapt to changing schedules and late evening hours and alternate weekends.
