Duties Greet and assist patients with professionalism, warmth, and enthusiasm Manage appointment scheduling and coordinate patient flow efficiently Maintain detailed and accurate patient records in our scheduling system Support our providers and clinical team with day-to-day operational needs Educate patients on available treatments, skincare products, and promotions Handle phone and email inquiries promptly and courteously Ensure the front desk, reception area, and patient spaces are always pristine and inviting Contribute to a positive, collaborative team culture Assist with Social Media content and obtain social media consents from patients. Assist in gathering Google reviews. Assist Clinicians with the flow of patients - welcome the patient from the waiting area and bring the patient into the treatment room, set up treatment trays with necessary items and clean the trays to get ready for the next patient. Take photos and help patients to complete consents. Provide a quote to the patient, if needed. Be timely with numbing patients to facilitate being on schedule. Inform provider of any patient concerns as well as informing patient of any pre/post op instructions. Clean instruments. Assist providers in documenting patient charts/fill out treatment sheets as needed. Clean and stock rooms daily and turn over after every patient. Take the linens and garbage out as well as keep shared spaces tidy. Shared activities: availability to open and close the office, book appointments, answer phone calls, sell creams, help file charts, cleaning. Report to manager as needed Record and monitor inventory. Including filler inventory, neurotoxin inventory, retail inventory. Requirements Enthusiastic, energetic, friendly, and personable. Passion for aesthetics industry. Excellent communication skills with a focus on patient service and satisfaction. Thrive in a fast-paced environment. Ability to work well with others in a fun environment. Proficient in using healthcare systems for scheduling, coding, and record management. Ability to work effectively in a fast-paced environment while managing multiple tasks. Strong attention to detail with the ability to handle sensitive information confidentially. A proactive attitude towards problem-solving and assisting patients with their needs. Education High school or equivalent.
