Summary: The Patient Services Representative is responsible for performing a variety of administrative and patient support duties for physicians and other clinic staff. Essential Functions: Answers telephone calls, screens inquiries, takes messages, and provides general information. Greets, screens, schedules, and directs patients. Prepares and processes correspondence; answers routine medical inquiries and drafts letters as needed. Obtains, verifies, and updates patient information while providing support to patients and medical staff. Requests, locates, sends, and receives patients’ medical records. Maintains and schedules patient appointments. Prepares electronic patient charts. Maintains electronic patient files and assists in establishing and improving office systems. Orders office and clinical supplies; assists in the care and maintenance of office equipment. Maintains the highest level of confidentiality at all times. Knowledge, Skills, and Abilities: Knowledge of medical terminology and general office procedures. Strong grammar, spelling, and punctuation skills; ability to type, review, and edit reports and correspondence. Basic arithmetic skills to make calculations, balance and reconcile figures, and make accurate changes. Proficient in operating computers, telephones, and office equipment such as copy machines. Ability to type a minimum of 50 wpm. Ability to read, understand, and follow oral and written instructions. Ability to accurately sort and file materials alphabetically or numerically. Strong verbal and written communication skills. Ability to establish and maintain effective working relationships with patients, staff, and the public. Requirements Minimum Qualifications: High school diploma or equivalent. Excellent interpersonal and communication skills. Ability to work independently and demonstrate initiative and flexibility within a team environment. Physical Requirements/Typical Working Conditions: Environment: Primarily a temperature-controlled facility. Work may require prolonged standing, as well as some bending, stooping, and stretching. Requires eye-hand coordination and manual dexterity sufficient to operate clinical testing equipment, a keyboard, mouse, and standard office equipment. Requires a normal range of hearing and vision to communicate in person, by phone, or via video. Requires occasional lifting of papers or boxes up to 30 pounds. Essential Physical Tasks: Sight: Sufficient to read physical documents and images on a computer monitor. Smell: Sufficient to discern smoke, burning odors, or other unusual smells. Hearing: Sufficient to conduct in-person, telephone, and video conversations, and to recognize ambient sounds. Touch: Sufficient to operate a keyboard, mouse, standard office equipment, and writing instruments. Physical mobility/strength: Sufficient ability to lift, twist, turn, reach, climb, kneel, squat, sit, walk, stand, and bend as needed throughout a standard shift.
