The Patient Services Representative (PSR) is often the first smiling face our patients see and the voice of the practice over the phone. This role combines exceptional customer service with administrative precision to create a seamless, positive experience for every patient. The PSR ensures that check-in and check-out procedures are completed smoothly, patient information is accurate, and all interactions reflect Webster Dental Care’s high standards for professionalism and care. Core Competencies Warm, friendly, and professional customer service Clear and compassionate communication Attention to detail, organization, and reliability Ability to multitask in a fast-paced, team-oriented environment Key Responsibilities Welcome and check in patients with a friendly, professional demeanor Manage patient check-out, scheduling follow-up visits, and coordinating care Answer and route phone calls and emails promptly and courteously Verify and update patient information, demographics, and insurance details Collect copayments and balances; manage financial arrangements when needed Schedule and confirm appointments while maintaining an efficient provider schedule Obtain necessary patient consents, referrals, and authorizations Present treatment plans and review financial options with patients Track case acceptance and follow up to ensure continuity of care Maintain a clean, organized, and welcoming reception area Assist with daily reports and administrative tracking as directed by the Practice Manager Support a culture of teamwork and patient-centered care across all departments Perform additional duties as assigned Requirements Required Qualifications High school diploma or equivalent Exceptional customer service and communication skills (both written and verbal) Strong computer proficiency and comfort with digital practice systems Professional phone etiquette and problem-solving skills Dependable, detail-oriented, and adaptable to changing priorities Willingness to work a flexible schedule (including evenings or Saturdays as needed) Preferred Qualifications Associate’s degree or higher Experience in a dental or healthcare office Working knowledge of dental/medical terminology Familiarity with Dentrix or similar practice management software Why You’ll Love Working With Us At Webster Dental Care, you’ll be part of a team that values growth, teamwork, and positivity.
