Payroll Accountant (U.S. Payroll, ADP/Gusto, Reconciliations – Remote)About the Role We’re hiring a Payroll Accountant to manage end-to-end payroll processing, tax compliance, and payroll accounting for client organizations. In this role, you’ll ensure employees are paid accurately and on time, payroll records are compliant and audit-ready, and payroll data is properly integrated into accounting systems. If you have experience with U.S. payroll, payroll systems like ADP or Gusto, and account reconciliations, this role is for you. ResponsibilitiesPayroll Processing Process bi-weekly, semi-monthly, or monthly payrolls (50–500 employees) Validate time entries, overtime, bonuses, and deductions Run payroll using systems such as: ADP Paychex Gusto QuickBooks Payroll BambooHR Journal Entries & Reconciliations Post payroll transactions into QuickBooks, NetSuite, or Xero Reconcile payroll clearing accounts and bank statements Record benefits, deductions, and employer contributions accurately Tax & Compliance Prepare and file payroll taxes (federal, state, local) Submit required forms: 941, W-2, 1099, and state equivalents Stay updated on U.S. payroll regulations and compliance requirements Benefits Administration Reconcile healthcare, retirement, and benefits contributions Ensure payroll deductions align with employee elections and policies Employee Support Respond to employee inquiries (pay stubs, tax withholding, direct deposits) Support onboarding payroll setup for new hires Reporting & Analysis Generate payroll reports and headcount summaries Support audits with detailed payroll documentation Provide variance analysis vs. payroll budget Process Improvement Improve workflows using Excel, integrations, or automation tools Document and maintain payroll SOPs for consistency and compliance Requirements 2+ years of experience in payroll processing Hands-on experience with at least one payroll system: ADP, Paychex, Gusto, QuickBooks Payroll, or BambooHR Intermediate proficiency in: Excel or Google Sheets (pivot tables, VLOOKUP, reconciliations) Strong knowledge of U.S. payroll taxes and compliance High attention to detail and accuracy Ability to manage deadlines and resolve discrepancies quickly Comfortable working remote aligned with U.S. time zones Nice to Have Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) Experience with multi-state or international payroll Experience reconciling payroll with accounting systems Familiarity with HRIS/payroll integrations (BambooHR, Zenefits, Workday) Tools & Tech ADP / Paychex / Gusto / QuickBooks Payroll / BambooHR QuickBooks / NetSuite / Xero Excel / Google Sheets Payroll and HRIS systems Why Join Manage end-to-end payroll operations with real ownership Work in a detail-driven, compliance-focused environment Opportunity to improve and scale payroll systems and processes Gain exposure to multi-entity and multi-state payroll operations Fully remote role with flexible scheduling aligned to U.S. clients What Success Looks Like 100% on-time payroll processing Less than 1% payroll error rate All tax filings completed before deadlines Payroll discrepancies resolved within 2 business days Clean, audit-ready payroll records and documentation Apply Now If you’re a Payroll Accountant who can manage payroll accuracy, compliance, and reporting, we’d love to hear from you.
