Description:
Payroll and HR Manager
- Type: Full time, salaried/exempt, 40 hours/week
- Location: Within commuting distance to Indianapolis, IN; unlimited work-from-home
- Salary: Minimum salary of $60,000. Salary is commensurate with skills and experience.

The Payroll and HR Manager provides essential leadership and support to a multi-state (17 states) and global (19 countries) organization. This role will be responsible for all aspects of the USA payroll and benefits, such as annual open enrollment, relationships with vendors and strategic advisors, as well as processing payroll/benefits throughout the year. Additionally, this role will lead or contribute to many initiatives within Global HR, such as: recruiting, onboarding, staff professional development, compliance, employee relations and department projects. This role also provides key support for global legal functions via serving as Notary and obtaining apostilles.
The Payroll and HR Manager works closely with all members of the HR and Finance Team, as well as partnering with all departments and divisions of our global organization.

In this position, your responsibilities would include:
- Lead all aspects of multi-state USA Payroll processing, including: data entry, semimonthly payroll processing/reporting, troubleshooting issues, responding to employee inquiries, interactions with state tax departments, annual W2 preparation, time off plan administration, ad hoc reporting as needed in support of annual financial audits, insurance renewals, etc.
- Lead many aspects of USA Benefits Strategy and Administration, including: vendor and advisor relationships, annual open enrollment, enrollment and change processing with service providers and in ADP, responding to employee questions, monthly billing processing, annual compliance activities such as 403b Census preparation.
- Serve as lead or supporting recruiter for identified positions, both USA domestic and international, including: partnering with hiring manager for hiring strategy, job posting, resume screening, interviewing and scheduling, supporting the offer process
- Facilitate onboarding for USA and international staff, collecting all required documents and supporting preparations processes with proactive communications to managers and new hires; conduct payroll/benefits orientations for new USA staff.
- Lead and/or support employee relations activities for USA and global staff, such as partnering with mangers for employee performance coaching, grievance processes.
- Working closely with the Finance team to provide payroll, benefits and HR data needed in support of annual audits, insurance renewals, and special projects.
- Lead and/or support the design, development, and execution of identified projects such as onboarding enhancements, intern program facilitation, staff professional development, staff engagement opportunities.
- Administer systems supporting employee learning and development, such as Canvas and LinkedIn Learning; design and lead campaigns in support of leveraging learning investments.
- Serve as lead administrator for the HRIS, currently ADP, for all data entry, reporting and system configuration needs.
- Support the execution of domestic and international legal documents by serving as Notary and obtaining apostilles; meeting with the CFO and office of the Indiana Secretary of State in person, as needed.
- Serve as liaison to Butler University in support of IFSA staff Affiliate ID creation and maintenance.
- Enroll staff with travel insurance provider for work-related travel
- Keep meticulous and organized documentation of all payroll, benefits and HR activities.
- Serve on main phone line rotation
- Serve on team’s weekly rotation for Indianapolis office tasks (mail, scanning, etc)
- Other duties and projects as assigned
Requirements, Work Experience and Education
- 3-5+ years of experience in a professional office environment. Applicable industries include higher education, nonprofit, and for-profit corporate organizations; 3-5+ years of Payroll and Human Resources experience required.
- 3+ years of USA multi-state payroll and benefits administration experience required, ADP experience strongly preferred
- Bachelor degree required, preferred majors in Business, Management, Accounting, Finance; Professional HR Certification (such as PHR, SHRM-CP) preferred
- Meet and maintain all requirements to be a Notary in Indiana
- Ability to work with sensitive and confidential information, with a high degree of professionalism and discretion.
- Excellent written and verbal communication skills; excellent organizational and record keeping skills
- A cross-functional and global mindset; experience engaging with stakeholders from other departments to drive positive change and deliver results
- Expertise in the Microsoft Office Suite, especially Outlook, Word, Excel, PowerPoint, SharePoint, OneNote, Teams; Experience with LucidChart preferred
- Experience with, or interest in, supporting a global workforce; embracing a mindset of continuous learning regarding legal and cultural differences in payroll, HR , benefits, and employment practices around the world.
