Responsibilities: Manage Romanian payroll in collaboration with external vendor while providing administrative support for other international payrolls Support international employee onboarding and offboarding across all payroll platforms, ensuring timely system updates and accurate data entry Act as a point of contact for payroll-related queries across all regions within the business, collaborating with employees and internal team members Manage company-wide (excluding US) employee expense approval and reimbursement processes, ensuring timely resolution and policy compliance Provide additional support to manager during peak periods, absences, and internal projects Collect and manage Romanian absence documentation, ensuring all records are complete and compliant with local regulations Support onboarding & offboarding in Romania, including employee communications, documentation collection, medical checks and processing leaver documentation Support Romanian benefits administration, including meal vouchers, medical insurance, and other country-specific programs Prepare and issue local employee documentation and certifications, such as salary confirmations and employment letters Support the maintenance of global payroll calendars, trackers, and the payroll logs to ensure deadlines are met and records remain accurate and up to date Provide ad hoc administrative support for global payroll-related tasks, including compiling reports, coordinating cross-functional activities, and assisting with time-sensitive or one-off requests Requirements: 3+ years of payroll experience Strong knowledge of payroll processes, compliance, and payroll-related documentation Strong attention to detail, analytical, and problem-solving skills Strong Excel skills Proficient in payroll systems, with experience using Globalization Partners, Deel, ADP or TriNet considered a plus Familiarity with expense management platforms, Expensify or Navan, is advantageous but not required Ability to work independently, but also a team player with strong communication skills Fluent in Romanian and English Equal Employment Opportunity Octus is committed to providing equal employment opportunities to all employees and applicants for employment without regard to race, colour, religion, sex, sexual orientation, gender identity, national origin, age, disability, genetic information, marital status, pregnancy, veteran status, or any other legally protected status.
