Description

The Payroll Assistant is responsible for assisting in the administration and process of payroll activities accurately and effectively. This role involves maintaining precise records, verifying data, and resolving discrepancies to ensure compliance with regulatory requirements and company policies. A payroll Assistant will provide support to both employees and the payroll department.

  • Accurately inputting employee information including hours worked, ETO/STO, deductions, and bonuses, into the payroll system.
  • Assisting in the processing of payroll on a regular basis, including calculating payroll, reviewing pay registers, and final payroll processing.
  • Generating payroll reports as needed for management, HR, and accounting purposes, including earnings statements, tax reports, and labor cost analysis.
  • Responding to employee inquiries regarding payroll matters, such as pay discrepancies, tax withholdings, leave balances, and resolving issues in a timely and professional manner.
  • Assisting with internal and external payroll audits by providing documentation, reconciling payroll records, and addressing any discrepancies or findings.
  • Assisting in handling wage garnishments, child support orders, and other court-ordered deductions in compliance with legal requirements
  • Complete direct deposit verifications for all new employees and any direct deposit changes.
  • Payroll reconciliation for contribution accounts such as HSA, 401K, and medical loan programs.
  • Assisting with year-end payroll processing tasks, including generating and distributing W2 forms to employees, filing required tax forms with government agencies, and preparing annual payroll reports for accounting and tax purposes.
  • Assisting with the maintenance and updates of payrolls software systems, including testing new features, troubleshooting errors, and ensuring data integrity.
  • Provide training and support to employees on payroll-related matters, including assisting with payroll self service systems, explaining paystubs and deductions, and addressing questions and concerns related to payroll policies and procedures.
  • Identifying opportunities to streamline payroll processes, improve efficiency, enhance accuracy, and collaborating with team members to implement the best practices and process improvements.
  • Will serve as the primary payroll backup for Payroll Specialist

Requirements:

  • High school diploma or equivalent required
  • One to two years of experience in payroll administration, accounting, bookkeeping, or a related field required
  • Strong attention to detail and accuracy in data entry and calculations
  • Basic understanding of payroll principles, tax regulations, and compliance requirements.
  • Proficiency in using spreadsheet software (e.g., Microsoft Excel) for data manipulation and analysis.
  • Excellent organizational and time management skills to handle multiple tasks and meet deadlines.
  • Effective communication skills to interact with employees, managers, and external stakeholders regarding payroll matters.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Job Type: Full-time
Pay: $16.90 - $22.81 per hour
