Position: Payroll & Benefit Specialist We’re looking for a detail-driven, people-focused Payroll & Benefits Specialist to join our Human Resources team. In this role, you’ll play a key part in ensuring employees are paid accurately and on time while also supporting a seamless and positive benefits experience. You’ll be a trusted resource for employees and a vital partner to HR and Finance, helping keep our processes running smoothly behind the scenes. This position reports to the Director of Human Resources. What You’ll Do: 1. Payroll Processing & Accuracy Own biweekly and monthly payroll processing, ensuring accuracy, timeliness, and compliance. Review and approve employee changes in Paylocity, including tax updates, direct deposits, and address changes. Audit timecards to ensure accuracy of hours, PTO, holidays, and leave adjustments. Validate deductions for 401(k), HSA, garnishments, and other benefit-related items. Coordinate payroll inputs such as expense reports, PTO carryover, and special payments. Partner with supervisors and employees to resolve timecard discrepancies and PTO requests. Generate and review payroll reports, including pre-process audits and reconciliation checks. Support tax account setup/closures and assist with multi-state compliance items. Coordinate WOTC processing and assist with ACA-related audits. Ensure proper handling of year-end and ongoing payroll processes, including PTO carryover and reporting requirements. 2. Benefits Administration Conduct benefit orientations for new employees and guide them through enrollment. Serve as a go-to resource for benefit questions and support. Manage Qualified Life Events (QLEs), special enrollments, and benefit changes. Audit and reconcile benefit deductions and carrier invoices to ensure accuracy. Partner on open enrollment activities, including communications, meetings, and system updates. Maintain benefit records in Paylocity and PlanSource, ensuring data integrity across systems. Monitor benefit eligibility for employees on leave and coordinate premium payments and communications. Support HSA, PTO, and benefits-related discrepancies and adjustments. 3. 401(k) Administration Assist with retirement plan administration, including contributions, loans, and reconciliations. Partner with external vendors and internal teams on plan compliance and census data. 4. Leave Management (FMLA/ADA/Disability) Guide employees through FMLA and ADA processes, including documentation and eligibility. Coordinate with employees, insurance carriers, and internal teams to manage leave cases. Track leave status, manage documentation timelines, and ensure compliance with regulations. Adjust PTO and benefits during leaves and communicate updates clearly to employees. Support short- and long-term disability claim processes and follow-ups. 5. Systems & HR Support Maintain accurate HRIS data and generate reports as needed. Support the HR team with special projects and ongoing initiatives. Assist in maintaining organized, accurate, and up-to-date employee records. What Sets You Apart: Highly organized with strong attention to detail. Requirements What We’re Looking For: 1–2 years of payroll processing experience. 1–2 years of HR experience in a support role, or 5+ years of experience in a business environment. Strong proficiency in Microsoft Word and Excel. Experience with an HRIS system, preferably Paylocity.
