Job Summary The Payroll & Benefits Administrator, reporting to the Chief Financial Officer, will work to ensure weekly and bi-weekly payroll is processed in a timely and accurate manner as well as assist with employee benefits administration. This is a full-time, hourly position (35-37 hours per week). Education and Experience Minimum Associate’s Degree in Accounting/Business or equivalent experience Minimum 2 years’ experience in payroll and benefits administration Experience using an HRIS, preferred Paylocity, or similar system. Experience using Microsoft Excel, Google Suite of Products (Gmail, Drive, Sheets, Docs) Passing PA Criminal Background Check Knowledge Working knowledge of FLMA, COBRA, Unemployment and Worker’s Compensation. Working knowledge of payroll tax requirements (Federal, State, and Local). Skills Strong attention to detail with the ability to meet deadlines. Effective communication with all levels of staff Proficiency in VLOOKUP/XLOOKUP, Pivot Tables, and Data Formatting for table creation. Requirements Primary Job Duties Process weekly, bi-weekly and special payroll runs when needed, ensuring that procedures are followed, and proper payroll documentation is completed. Payroll is submitted every Tuesday for payment on Thursday. Manage the HRIS (Paylocity), update and input record information as required, including the setting up new employees (Onboarding), processing changes and terminations. Learn and be able to apply and follow LORT – AEA guidelines for Actor, Stage Manager, and Juvenile Actor pay and benefits. Complete various forms or claims for domestic relations, mortgage companies, and employment verification, etc. Complete forms for Clearances, Background Checks, and Work Permits (Juvenile Actors) Day to day benefit administration of all insurance and retirement plans. Audit all benefit billings monthly and ensure that proper charges are being paid. Delete and add employees per the guidelines for benefits and notify of COBRA rights. Assist with Annual Open Enrollment for Healthcare plans as well as special enrollments (as needed). Day to day processing of unemployment and workers compensation claims. Process all paperwork on a timely basis related to benefits, payroll changes, new hires, termination, PTO and payroll questions. Resolve issues or problems as soon as they are identified. Assist with and/or prepare employee agreements/contracts/letters of understanding as needed Work as needed with the outsourced HR team regarding FMLA, Disability, and other leave tracking. Complete compliance filings when necessary. (OSHA 300, ACA, 5500) Assist in compiling data for annual workers compensation audit with insurance provider. Perform customer service functions by answering employee requests and questions as it relates to payroll and benefits. Assist with General Accounting as needed, including A/P entry. Maintain employee confidence and protect employee data and payroll operations by keeping information confidential. Perform any other duties that may be required.
