The Payroll & Benefits Lead plays a pivotal role in managing payroll functions in the Workday application. This role ensures the accurate and timely delivery of payroll, compliance with all regulatory requirements, and effective management of payroll data in Workday and ADP. The Payroll and Benefits Lead will promote continuous improvement of our employee benefits programs. The ideal candidate will ensure that all benefits offerings are effectively communicated, compliant with regulations, and aligned with our company’s values and strategic goals. The Payroll & Benefits Lead will also assist with managing the Society’s 401k plan and provide support to Society’s financial audits in Finance and Insurance departments.
Main Responsibilities

Payroll Operations:

  • Oversee the preparation and processing of payroll for all employees, ensuring accuracy and compliance with federal, state, and local regulations.
  • Handle complex payroll issues, including adjustments, tax compliance, garnishments, and benefit deductions.
  • Reconcile payroll accounts and ensure proper reporting of earnings, taxes, and deductions.
  • Manage year-end payroll activities, including W-2 processing and tax filings.
  • Establish and maintain payroll policies and procedures to ensure efficiency and compliance.

Benefits Administration:

  • Manage day-to-day operations of group benefits programs (health, dental, vision, life insurance, disability, retirement plans, wellness programs, etc.).

Vendor Management:

  • Liaise with external benefits providers and brokers to ensure high-quality service delivery and resolve any issues.

Compliance & Reporting:

  • Ensure compliance with federal, state, and local regulations (e.g., ERISA, ACA, HIPAA, COBRA). Prepare and submit required reports and filings.

Open Enrollment:

  • Lead the planning and execution of annual open enrollment, including system setup, employee communications, and coordination with vendors.
  • Identify opportunities to streamline benefits processes and enhance employee experience through automation, education, and policy updates.

Data Management:

  • Maintain accurate benefits data in HRIS systems and ensure timely updates for new hires, terminations, and life events.

Compliance and Audit:

  • Ensure payroll and Workday processes adhere to all applicable labor laws, tax regulations, and data privacy standards.
  • Coordinate and support audits related to payroll and Workday, including internal, external, and regulatory reviews.
  • Partner with Insurance department for quarterly Workers Compensation audits

Retirement Benefits Administration:

  • Oversee the daily operation of Society’s 401k plan
  • Process payroll contributions and loans in accordance with plan documents
  • Act as key resource for retirement related questions and troubleshooting

What We’re Looking For:

  • Proven experience with increasing levels of responsibility in payroll and benefits administration.
  • Advanced knowledge of Workday Payroll and Workday Benefits modules.
  • Strong knowledge of benefits laws and regulations.
  • Proficiency with HRIS systems and Microsoft Office Suite.
  • Excellent communication, problem-solving, and organizational skills.
  • Ability to handle sensitive information with confidentiality and professionalism.

Location Requirements

  • Remote - Flexible Location
  • Work is primarily performed remotely, however, when possible and necessary, teams meet in person to conduct the business of the organization and build team relationships.

Compensation | Benefits:
The estimated hiring compensation range for this role is $65,000-$85,000. Final offers will be based on the candidate’s geographic location, consider career experience and may vary from this range due to these and other factors.
