POSITION SUMMARY

We are seeking a skilled Payroll & Bookkeeping Specialist to join our team. This role will focus on processing payroll for multiple clients, managing bookkeeping tasks, and supporting our CPAs by maintaining accurate financial records. The ideal candidate will have previous payroll and bookkeeping experience, an understanding of the payroll process, compliance rules, and proficiency in general ledger accounting. This position is available to both on-site and hybrid job seekers. The hybrid opportunity requires a minimum of 1 day on-site per week as well as 2-4 weeks of on-site training.
Although overtime is not required, employees who are willing and able to do so are encouraged to work overtime during our busy filing season of January – April 15 annually.

Team members in this position are typically in the office 1-2 days per week, with remote days scheduled in advance. Employees must be available during regular business hours, maintain a dedicated professional workspace, and follow firm guidelines for communication, confidentiality, and data security.

QUALIFICATIONS

  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field (or equivalent experience)
  • Prior experience in payroll processing and bookkeeping preferred
  • Proficiency with QuickBooks (Online/Desktop), payroll software, and Microsoft Excel
  • Strong attention to detail and organizational skills
  • Ability to work directly with clients, managing multiple projects with competing deadlines
  • Excellent communication and customer service skills
Responsibilities
  • Maintain confidentiality and professionalism with sensitive client information
  • Process weekly, biweekly, and monthly payroll for multiple clients
  • Prepare and file federal, state, and local payroll tax returns (quarterly and annually)
  • Assist clients with payroll setup, compliance, and reporting
  • Prepare year-end payroll forms including W-2s and 1099s
  • Maintain accurate payroll records and respond to client payroll questions
  • File sales tax returns accurately and on time
  • Respond to correspondence received from regulatory agencies
  • Record day-to-day financial transactions for clients
  • Reconcile bank accounts, credit cards, and general ledger accounts
  • Prepare monthly, quarterly, and annual financial reports for clients
  • Assist CPAs with tax and audit support documentation as needed
