Company Description Payroll Coordinator Requirements: Previous experience in payroll, timekeeping, or administrative support (preferably in healthcare or homecare) is strongly preferred. Strong phone communication and interpersonal skills; comfortable reaching out to staff for clarification or follow-up. Familiarity with payroll/timekeeping systems; experience with Paycor or WellSky is a plus. Exceptional attention to detail is essential — this role requires high accuracy and organization. Ability to handle sensitive payroll information with discretion and confidentiality. Proficiency in Microsoft Excel, Word and Outlook along with general computer literacy. Payroll Coordinator Essential Functions: Review and reconcile caregiver timekeeping records for accuracy using our homecare management system (WellSky). Contact caregivers by phone to collect missing timesheets, clarify shift details, or resolve discrepancies. Enter and verify timekeeping data to ensure accurate payroll processing and billing. Flag, resolve, and track any errors for repeat offenders with timekeeping inconsistencies in caregiver shifts and documentation. Coordinate with the scheduling teams to ensure payroll records align with caregiver assignments. Verify hours worked, variations in payrates to include approved incentive & weekend rates, mileage reimbursements when applicable are all reflected accurately in system to process and paid. Keep track of employees' leave time, such as personal and sick leave. Process paperwork for new employees and enter employee information into the payroll system. Record employee information, such as exemptions, transfers, and resignations, to maintain and update payroll records. Maintain accurate documentation and logs of communications and corrections for audit purposes. Help identify and recommend improvements in payroll tracking and workflow procedures.
