SECONDARY FUNCTIONS

  • Assist the HR team with various projects, initiatives, and process improvements.
  • Serve as a backup to the Director of HR for onboarding adjunct instructors and generating adjunct contracts.
  • Participate in department meetings, brainstorming sessions, and university committees to support strategic initiatives and cross-department collaboration.
  • Recommend new approaches and procedures to improve efficiency and enhance service delivery.

QUALIFICATIONS

  • Bachelor’s degree in Human Resources, Accounting, Business, or related field required.
  • PHR and/or SHRM-CP certification preferred.
  • 1-3 years of experience in payroll processing, HR, or related functions required.
  • Strong knowledge of federal, state, and local employment and payroll regulations.
  • Exceptional customer service skills with the ability to build positive relationships across all levels of the organization.
  • Excellent organizational, analytical, and problem-solving skills; ability to manage multiple priorities in a fast-paced environment.
  • High level of integrity, professionalism, and discretion in handling confidential information.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook); experience with ADP or similar payroll systems preferred.
  • Familiarity with web content management and Office 365 platforms.
  • Professional appearance and demeanor, with the ability to handle challenging situations calmly and diplomatically.

Responsibilities

SUMMARY OF RESPONSIBILITIES

The Payroll Coordinator is responsible for delivering exceptional customer service to faculty, staff, and students in support of the University’s mission, vision, and values. This role focuses primarily on payroll administration, timesheet processing, and payroll compliance, while also providing general HR support. The Payroll Coordinator reports to the Director of Human Resources and plays a critical role in ensuring accurate and timely payroll operations.

ESSENTIAL FUNCTIONS

  • Maintain the highest level of confidentiality in all matters related to payroll and HR operations.
  • Oversee all aspects of payroll processing for bi-weekly and monthly payrolls, ensuring transactions are entered, processed, and distributed accurately and on schedule in compliance with policies and regulatory requirements.
  • Monitor hourly employee work hours, track overtime, verify approvals, and provide bi-weekly payroll summary reports to leadership.
  • Maintain up-to-date payroll procedures and documentation in department manuals and shared drives.
  • Serve as the primary point of contact for payroll-related inquiries, interpreting and communicating university policies, procedures, and relevant employment laws.
  • Conduct audits to ensure payroll and HR compliance, including I-9, e-Verify, and records retention requirements.
  • Support employee onboarding by preparing offer letters, new hire paperwork, personnel files, and conducting orientation for faculty.
  • Ensure timely and compliant completion of new hire documentation, including I-9 verification.
  • Assist with the coordination of employee benefits, performance evaluations, and online training administration.
  • Compile, maintain, and run reports for payroll, HR, and compliance purposes on both a scheduled and ad hoc basis.
  • Provide support for employee relations matters, including intake of Workers’ Compensation claims and FMLA processing.
  • Participate in planning and organizing employee meetings, training sessions, and special events.
  • Facilitates on-boarding process for Student Workers for new hire orientation.
  • Maintain and update HR web pages, HR calendar, and related documentation.
  • Perform other duties and projects as assigned to support the HR department.
