We’re looking for a proactive Payroll Coordinator to join the Business Office and take charge of delivering accurate, timely and compliant payroll services. If you enjoy juggling tasks, working diligently and making an impact behind the scenes, this could be the perfect fit for you!

JOB SUMMARY

The Payroll Coordinator processes the Library employee payroll in compliance with applicable laws, regulations, and policies.

EDUCATION AND EXPERIENCE

  • High School diploma or equivalent
  • Minimum 3 years’ experience processing payroll for a medium-sized organization; ADP use a plus
  • CPP certification by the APA a plus
  • Experience in purchasing is a plus
  • Experience in public libraries or public-sector organizations a plus

KNOWLEDGE, SKILLS, ABILITIES

  • Proficient user of integrated payroll systems/software required; ADP a plus
  • Intermediate proficiency in MS Excel and Word
  • Proficiency with government accounting software, such as SSI is a plus
  • Time management skills with a proven ability to prioritize and meet deadlines
  • Strong critical thinking skills and the ability to identify and resolve issues
  • Organized with an attention to detail

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

  • This job operates in a professional office environment with exposure to central climate control, overhead lighting, and low-to-moderate noise levels.
  • While performing the duties of this job, the employee is regularly required to speak and hear, sit for extended periods of time, stand, walk, bend, stoop, use hands and fingers to perform repetitive motions, and reach with hands and arms, and to lift, push, or pull objects weighing up to 15 pounds. It requires the ability to use standard office equipment including computers.
  • Some travel by personal automobile for frequent off-site meetings in various settings may occur. Occasional overnight travel may be required.
  • Standard working hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. Performing work tasks outside of these hours, including weekends, may be required due to the community service nature of the Library and hours open to the public.

Responsibilities
  • Processes employee payroll according to established schedule; reconciles payroll deposits, tax withholdings, wage garnishments, and voluntary deductions
  • Maintains payroll data integrity and employee privacy; audits records for accuracy
  • Generates periodic payroll reports and payroll tax documents as required
  • Collaborates with employees, department managers, and Human Resources to resolve payroll-related issues as they arise
  • Processes procurement of significant spends related to supplies and services
  • Responds to the needs of Library staff and escalates issues to the Fiscal Officer as appropriate
