Position Summary: The Payroll & Expense Coordinator supports finance-side payroll and employee expense controls by validating payroll registers and changes, coordinating payroll accounting entries and reconciliations, and administering expense reimbursements and business advances for policy compliance and documentation completeness. The role maintains exception logs, clearing account monitoring, and audit-ready evidence packs, and supports month-end close schedules and accrual inputs. This role is not HR payroll processing and operates under strict segregation of duties (no payment release, no self-approval, no bank reconciliations). Key Responsibilities: Payroll validation & exception management – Validate payroll registers/changes for approvals and reasonableness; maintain exceptions log and escalate issues. Payroll accounting coordination – Prepare supporting schedules and coordinate payroll entries in Oracle Fusion (or approved interface); ensure independent review/approval. Payroll reconciliations – Reconcile payroll registers to posting summaries and clearing/liability accounts; investigate and resolve variances with HR and accounting. Expense reimbursements & advances governance – Validate claims for policy compliance and documentation; manage advances lifecycle and aging; route approvals per DoA. Audit-ready evidence & close support – Maintain evidence packs and retention discipline; support month-end close with accrual schedules and clearing account support. Ideal Candidate Profile: Strong control mindset (DoA/SoD awareness, no self-approval, evidence discipline). Payroll accounting literacy (clearing accounts, accruals, reconciliation logic). High attention to detail with ability to investigate exceptions and document conclusions. Strong coordination and communication with HR and employees while enforcing policy. Excel proficiency (schedules, aging reports, reconciliations; pivots/lookups). Education and Experience: Education: Bachelor’s degree in business, or related field. Experience: Minimum 1+ years in payroll accounting, expense management, or control-focused accounting role. Preferred: Experience in a controlled environment with audit support; higher education/nonprofit exposure; familiarity with Oracle Fusion payroll accounting/expenses and advanced Excel. Why AUIB?
