MINIMUM QUALIFICATIONS:
- High school diploma or equivalent.
- Previous experience of data management, payroll policies and procedures, preferred.
- Ability to meet suitability criteria for employment and/or certification/licensure under the Alabama Child Protection Act of 1999 and Act No. 2002-457.
- Knowledge of general office procedures related to organization, filing, preparation of documents, computer software programs including spreadsheets, word processing, databases, presentation software, etc.
- Proficiency in oral and written communication skills.
- Effective interpersonal skills, with an emphasis on communication and collaboration with a wide variety of people and groups.
- Ability to work independently, prioritize tasks, and perform assignments as directed with accuracy, attention to detail, and within established time frames.
- Ability to use technology to communicate, to manage data, and to produce/submit required reports, correspondence, and/or financial information.
- Physical strength, mobility, dexterity, stamina, and acuity to perform job responsibilities.
- Ability to be punctual and in regular attendance.

Performance Responsibilities and Essential Functions:
Demonstrates support for the school system and its vision, goals, and priorities.
- Answers questions and responds to requests from the schools and general public; resolves issues in assigned area or refers requests as appropriate.
- Performs routine clerical functions. Produces, records, and responds to, as directed, correspondence, research, reports, notices, recommendations, and materials as needed for efficient office operations.
- Provides administrative support to the human resources and payroll departments or other school district personnel as needed.
- Reports potential problems, unusual events, or work irregularities to appropriate administrative or supervisory personnel.
- Uses office technology/software to complete job responsibilities as assigned.
- Assists and provides training, as needed, for school employees and substitutes pertaining to the current absence management software.
- Maintains and updates, as needed, the absence management software for the entire district.
- Serves as a liaison between local school personnel and the current absence management software.
- Coordinates open enrollment, which includes collaborating with vendors, notifying employees, updating employees on PEEHIP (state health) requirements and timelines for changes.
- Serves as a payroll/benefits’ liaison to resolve discrepancies and concerns as necessary; reconciles insurance billings and collect and arrange for payments; review and audit insurance billings for accuracy.
- Assists HR/Payroll with leave of absence requests, sick leave bank and a variety of other mandated forms and applications.
- Performs general payroll functions as assigned, such as unemployment claims, on-the-job injury/workman’s compensation, verification of employment and disability claim forms.
- Communicates effectively and engages in office communication processes as directed using telephones, voice mail, electronic mail, postal and/or delivery services, intra-campus delivery and other means as directed.
- Uses effective interpersonal skills, with an emphasis on communication and collaboration with a wide variety of people and groups.
- Prioritizes tasks and performs assignments as directed with accuracy, attention to detail, and within established time frames.
- Models and maintains high ethical standards.
- Participates in training programs offered to increase skill and proficiency related to assignment.
- Attends and participates in meetings as directed.
- Maintains confidentiality regarding school/workplace matters in accordance with district policy, state, and federal law.
- Demonstrates initiative in identifying opportunities for improvement in areas of responsibility.
- Maintains and submits required reports, records, and correspondence in a timely and accurate manner.
- Properly cares for equipment and material resources of the school system.
- Uses effective collaboration skills to work as a productive team member.
- Serves on school system committees, task forces, and representative groups as required.
- Adheres to school system rules, administrative procedures, local Board policies, and state, federal, and local laws.
- Reports absences and takes leave in accordance with Board policies and procedures.
- Performs duties and represents the system in a courteous, positive, and professional manner.
- Performs any other job-related duties as assigned by Supervisor(s).

Evaluation: Performance will be evaluated in accordance with the Board’s policy on evaluation of personnel.
