POSITION OVERVIEW

We’re seeking a detail-oriented Payroll Manager to oversee all payroll operations across multiple states and pay groups. This position plays a vital role in ensuring payroll accuracy, compliance with multi-state tax laws, and adherence to GAAP standards. The ideal candidate will be process-driven, disciplined, and highly organized, with a strong sense of accountability and confidentiality.
This role requires collaboration with HR, Accounting, and Finance teams to maintain timely and precise payroll services. You’ll be responsible for managing both union and non-union payrolls, tax filings, certified reporting, and benefits-related deductions.

SKILLS & QUALIFICATIONS

  • Bachelor’s degree in Accounting, Finance, or Human Resources
  • 5+ years of hands-on payroll experience, preferably in a multi-state and union environment
  • In-depth knowledge of payroll processes, compliance, and tax regulations
  • Strong analytical and organizational skills with acute attention to detail
  • Excellent verbal and written communication abilities
  • Comfortable working independently and cross-functionally with other departments
  • Proficient in payroll systems; experience with Paylocity, QuickBooks, Smartsheet, Excel, Outlook is a plus
  • Experience in construction or a multi-company setting is highly desirable
  • Familiarity with certified payroll software such as eComply or LCPTracker is an advantage
  • Understanding of US GAAP and financial reporting standards is a bonus

Responsibilities

KEY RESPONSIBILITIES

  • Administer payroll for multiple pay groups and states on a weekly and bi-weekly schedule
  • Ensure accuracy of employee payroll data, including tax withholdings, benefits, garnishments, and deductions
  • Maintain compliance with state and federal payroll laws, especially in multi-state environments
  • Prepare and submit certified payroll reports for various projects weekly
  • Manage union payrolls, including dues and benefits reporting
  • Collaborate with team members to resolve payroll discrepancies and provide timely solutions
  • Train and support employees on timesheet entry, expense reporting, and accessing payroll systems
  • Prepare and reconcile journal entries, benefits invoices, and payroll withholdings
  • Support month-end close activities and ensure timely reporting
  • Submit monthly state sales/use tax filings and maintain business licenses
  • Generate and analyze payroll reports for leadership and operational teams
