Description
The Payroll Team within Finance is currently seeking a Full-time Limited Term Payroll Specialist for approximately 12 months.
The Payroll Specialist position, reporting to the Payroll Manager has a primary focus on the operations of the day to day payroll application in a high volume, highly specialized and complex area that requires thorough attention to detail as the impact of errors is high.
The primary purpose of this position is to provide day to day payroll administration functions supporting the accuracy and compliance of timely payments to employees and students. This position has to be aware of the direct connection and impact from the time module in PeopleSoft and the payroll module as it relates to the impact of the calculation of net pay.
Summary of Key Responsibilities (job functions include but are not limited to):

Administration

  • Accurate interpretation, calculation and processing of Payroll and Benefits from numerous sources to ensure payment is produced within specified timelines and results in a correct gross to net.
  • To complete various payroll audits to ensure information is up to date and complete for payroll processing.
  • Understand accounting principles used to process day to day payroll including recoveries which are more complicated in nature.
  • Generate and run daily action reports to process day to day transactions.
  • Review and double checking of each other work is done on a rotation basis.
  • Investigates banking issues such as stop payments, traces and retrievals and determines appropriate course of action to take as a result of these issues.
  • Process Time and Labour transactions as needed.
  • Responsible to continually review business practices with a view to streamline and leverage the new PeopleSoft system.
  • Investigating and correcting errors (i.e., overpayments, incorrect payments and associated reporting etc.) and advising departments in a professional, diplomatic, respectful manner as to solutions and alternatives in these complex situations.
  • Provide employees with direction and information pertaining to their personal pay issues.
  • Answer inquiries from various agencies using diplomacy and maintaining confidentiality.
  • Provide recommendations/solutions to better leverage the system and ensure consistency amongst business practices Participate in meetings to review and improve business processes.
  • Meet government reporting requirements (Revenue Canada, Services Canada, FOIP).
  • Ensure that all transactions are appropriate and correct to ensure correct year end reporting.
  • Pay line and timesheets Entries, confirmation of data entered, investigation of an employee’s concern, partnering with various areas to resolve issues and to streamline business processes.
  • Maintains electronic payroll documents and system updates to employee payroll information.
  • Team members cross train within the department to maintain functional coverage.

QUALIFICATIONS / REQUIREMENTS:

  • PCP Certification with National Payroll Institute is required.
  • Diploma in business, finance, human resources or related field.
  • Minimum 3 - 5 years payroll processing experience in a large, complex organization
  • Current knowledge of Time application standards and practices and the impact to the gross to net payroll processes is required.
  • Preferred experience with PeopleSoft HR/Time/Payroll system.
  • Excellent understanding of Alberta Employment Standards Codes, CRA and Service Canada regulations and Acts is required.
  • Extensive knowledge of university policies and procedures, numerous union contracts, and Government Regulatory procedures is an asset.
  • At all times diplomacy, and confidentiality must be maintained.
  • Demonstrated strong communication, customer focus and team collaboration skills required.
  • An ability to exercise judgment within established guidelines is required.
  • Excellent time management, prioritization, organizational, and analytical skills.
  • Excellent attention to details; must have strong listening skills and be able to communicate with the diverse multicultural community of the University.
  • Strong working knowledge of Microsoft Office applications (Word, Excel, Access, Outlook and PowerPoint).
  • Knowledge of University core business systems (PeopleSoft HR, Payroll and Benefits).
