The Position: We are looking for a Payroll Specialist, who is willing to embrace McKinley’s mission and H.U.M.A.N values. The Payroll Specialist is responsible for ensuring the accurate and timely processing of payroll for all employees at McKinley. This role requires strong knowledge of the UKG HRIS system (or similar HRIS system), as well as an in-depth understanding of payroll regulations, tax laws, and compliance requirements.

QUALIFICATIONS:

  • Bachelor’s degree in Accounting, Human Resources, Finance, or related field from an accredited institution.
  • Certified Payroll Professional (CPP) designation is preferred but not required.
  • A minimum of 3-5 years of experience working with UKG is preferred, but not required.
  • 3-5 years of payroll processing experience, including handling multi-state payroll.
  • Strong knowledge of payroll laws and compliance, including FMLA and garnishment laws.
  • Proficient in managing 403B transactions and payroll tax requirements.
  • Experience with bank reconciliations and general ledger entries.
  • Familiarity with accruals (PTO, Sick leave, etc.).
  • Advanced knowledge of payroll best practices and procedures.
  • Ability to work under pressure and meet tight deadlines.
  • Strong attention to detail and analytical thinking.
  • Proficiency in using payroll software systems and Microsoft Office Suite, Google, and Excel.
  • Subject matter expert in the UKG system(or similar HRIS system).
  • Must pass pre-employment physical exam, TB and drug screening
  • Ability to commute to various sites
  • Ability to lift at least 10 pounds for filing, boxes, and packages
  • Ability to sit for several hours performing clerical functions

Responsibilities
  • Serve as a primary point of contact for managing UKG software in regards to payroll.
  • Manage end-to-end payroll operations, from data collection to final disbursement.
  • Calculate and incorporate payroll adjustments such as overtime, deductions, and benefits.
  • Accountable and responsible for all aspects of payroll production for both employees and clients.
  • Accurately key in all payroll-related data necessary to process and meet payroll schedules.
  • Verify payroll totals and ensure the accuracy of all calculations.
  • Manage and process semi monthly payroll for all employees, ensuring accuracy and compliance with federal, state, and local laws.
  • Oversee and maintain the UKG HRIS system, ensuring data integrity and troubleshooting any system issues related to payroll.
  • Process 403B transactions and ensure timely contributions to employee retirement plans.
  • Handle multi-state payroll tax filings, reporting, and compliance.
  • Manage timecard entries and resolve discrepancies in hours worked, overtime, and leave balances.
  • Reconcile payroll-related accounts, including bank reconciliations and general ledger postings.
  • Monitor and apply FMLA laws, ensuring compliance with leave policies and accurately tracking time off.
  • Calculate and manage payroll deductions, including garnishments and benefit contributions.
  • Generate and review payroll reports for discrepancies or errors and address any inconsistencies promptly.
  • Assist with the development of payroll procedures and process improvements.
  • Respond to payroll inquiries from employees, providing excellent customer service and resolving issues efficiently.
  • Support the HR and Finance departments with payroll-related projects and analysis as needed.
  • Ensure timely submission of year-end reports, including W-2s and other required tax forms.
  • Serve as the primary contact for payroll-related inquiries from employees.
  • Promptly respond to and resolve employee questions and payroll-related problems.
  • Collaborate with Human Resources to ensure accurate and up-to-date employee records, including onboarding, terminations, and benefit adjustments.
  • Other duties as assigned.
